Administrative Assistant II - Teaching and Learning

Position Summary:

The Administrative Assistant, Teaching & Learning provides comprehensive administrative and operational support to the Teaching & Learning Department. This position is responsible for coordinating departmental communications, maintaining records and documentation, managing budgets, assisting with curriculum, purchasing materials, organizing professional learning travel and registration, and supporting Teaching and Learning initiatives.

The Administrative Assistant serves as a key resource for staff, ensuring the efficient operation of departmental programs, maintaining compliance with district, state, and federal requirements, and delivering exceptional customer service to employees, students, families, and community partners.

Essential Duties and Responsibilities:
  • Serves as the primary administrative assistant to the Assistant Superintendent of Teaching and Learning, Director of Elementary Education, Director of Secondary Education, and Director of Innovation and Life Readiness, providing high-level administrative support, coordinating schedules and meetings, preparing reports and correspondence, maintaining confidential records, and assisting with Teaching and Learning initiatives and special projects
  • Answers incoming telephone calls; determines the purpose of the call and provides information directly or refers calls to proper person or office
  • Is familiar with district policies/procedures
  • Administers district professional development, including the K-12 conference rotation, enrollment logistics, and travel arrangements, while maintaining the Wisdomwhere platform
  • Manages and monitors Teaching & Learning departmental budgets
  • Procures materials and supplies for departmental budget lines
  • Processes payroll for extra duty and summer workshop participation
  • Coordinates and provides support for meetings held at the district level
  • Updates and maintains the district curriculum platform (Embarc)
  • Assists with the needs of the school summer school programming
  • Maintains and updates the Teaching & Learning Department websites
  • Supports summer professional development workshops
  • Prepares and reviews departmental documentation and presentations for the Board of Education
  • Supports the implementation of district-wide personalized learning initiatives
  • Assists with the planning and organization of support staff professional learning opportunities
  • Provides clerical assistance to the Support Staff Professional Development Committee
  • Assists with the coordination and implementation of New Teacher Orientation
  • Supports departmental directors throughout the K-12 curriculum adoption cycle
  • Performs other duties as assigned

Desired Qualifications
  • Minimum of two years of administrative support experience required; school district experience preferred
  • Proficiency with Google Workspace (Docs, Sheets, Forms) and Microsoft Office Suite (Word, Excel, Outlook)
  • Demonstrates ability to maintain confidential information and exercise sound judgment
  • Has strong attention to detail and organizational skills
Knowledge, Skills, and Abilities
  • Knowledge of office administration practices
  • Knowledge of records management, data entry practices, and document retention requirements
  • Ability to organize, prioritize, and complete multiple assignments while meeting established deadlines
  • Ability to analyze data, prepare reports, and ensure the accuracy of employee information
  • Strong written, verbal, and interpersonal communication skills
  • Proficient in school software systems, electronic filing systems, and database management
  • Strong customer service skills and the ability to work effectively with employees, administrators, and the public
  • Ability to work independently, exercise sound judgment, and collaborate effectively as a member of the Teaching and Learning team

Pay Structure:
  • Pay Grade A110: $18.22-$31.04
