Salary: $24.41 - 34.80 per hour

Note: Starting pay rates are ultimately determined by the scope of the position, the candidate's relevant experience, and internal equity. New employees typically start in the lower half of range, but experts in their field may be considered for starting pay rates in the top half of the range.

Department/Location: Rent Collections

Summary

The primary purpose of this position is to coordinate the daily administrative operations of the Rent Collections Department as assigned by the Manager of LOC. The incumbent provides administrative and clerical support for the Rent Collections Department, and acts as a liaison with other departments, staff, and external customers.

All activities must support the Minneapolis Public Housing Authority's ("MPHA" or "Authority") mission, vision, and values.

Essential Duties and Responsibilities

The position duties and responsibilities listed below describe the general nature and scope of work. Other responsibilities, duties and skills may be required and assigned, as needed.

  • Responds to in-person and telephone inquiries from residents, case managers, or any other internal or external customers to the Authority regarding all aspects of the Rent Collections Department.
  • Serves as first point of contact to screen calls and resolve in-person and/or telephone inquiries and complaints. Researches the software system and tenants' files for information and provides referrals to appropriate staff as needed.
  • Responds to incoming business calls and, using good judgment, prioritizes and directs the calls to appropriate individuals if unable to resolve. Performs administrative support duties in response to the department's daily workflow, including organizing, compiling, maintaining, and coordinating daily appointment activities, arranging and scheduling meetings, and retrieving and compiling preparatory information for department staff; i.e. court documents, letters to residents, working with sheriff's office and moving and storage company.
  • Performs department billing activities, including creating purchase orders and submitting bills for payment.
  • Completes daily deposits and applies to resident's account.
  • Accepts and routes information and documentation submitted via walk-in, phone calls, or email and documents the appropriate spreadsheet.
  • Organizes, maintains, and secures filing of data/mail received into resident and department records using scanning system.
  • Compiles and submits a monthly report of work activities, including, but not limited to, tracking walk-ins serviced and the number of tenant calls and payments received.
  • Monitors and orders all department supplies, equipment maintenance, and servicing to ensure the department is fully operational. Processes related paperwork.
  • Provides back up administrative support to the Rent Collection Agents.
  • Performs other related duties as assigned.

Requirements

Education and/or Experience

High School Diploma or GED Certificate and a minimum of two (2) years of general customer service and administrative experience. An equivalent combination of education and experience may be considered.

Some positions may require possession of a valid driver's license. Those positions may also require use of a personal vehicle and evidence of individual automobile insurance coverage, or the ability to be insurable under the Authority's automobile insurance plan at the standard rate. Must pass a criminal history background check.

Technical Skills

To perform this job successfully, the employee should have strong computer skills (MS Word, Excel, and Outlook). Must have the ability to learn other computer software programs as required by assigned tasks.
