Bowman has an opportunity for an Administrative Assistant I to join our team in Phoenix, AZ.

Overview:

To facilitate the efficient operation of the assigned department by performing a variety of clerical and administrative tasks.

Responsibilities:

Leadership and Direction

  • Perform work under moderate supervision. Receive direction on complex assignments, tasks, and execution.  Work is frequently reviewed by more senior staff to ensure application of sound techniques and principle

At the Operational and Company Level

  • Greet scheduled visitors and accompany to appropriate area or person.
  • Coordinate and arrange logistic needs for meetings, prepare agendas, reserve, and prepare facilities.
  • Act at times as the liaison between workgroups and outside stakeholders – suppliers, clients, etc. Also act as liaison with corporate headquarters, disseminating information to local office staff accordingly.
  • Communicate with building management to maintain office facilities.

 

Do the Work

 

  • Compose and edit correspondence in Word and create and maintain spreadsheets in Excel.
  • Approve and code invoices.
  • Submit expense reports.
  • Help process new hire and term tickets.
  • Collect receipts and verify coding for credit card submissions.
  • Research and prepare reports relating to departmental projects and activities.
  • Collect and research data using various company programs.
  • Perform administrative duties such as coding documents, copying, scanning, printing, binding, collating, data entry, research, etc.
  • Anticipate future needs and respond to changing situations.
  • Effectively manage conflicting priorities. This involves organizing your workflow, and teaming with colleagues to accomplish tasks and balance workloads.
  • Anticipate, order, and maintain office supplies inventory.
  • Coordinate with vendors.
  • Perform special projects as assigned.

Qualifications:

 

  • High School diploma or equivalent GED; 2 years’ post-high school education or Associates Degree preferred.
  • Entry level position, administrative experience a plus.
  • Proficient with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Excellent interpersonal and customer service skills.
  • Basic understanding of clerical procedures and systems such as record keeping and filing.
  • Proven ability to use independent judgment to plan, prioritize, and organize a diversified workload.
  • Must be dependable, with excellent attendance and punctuality.
  • Professional appearance, approach, and demeanor.

 

Physical Demands and Working Environment:
  • Primarily indoor professional office environment which may include bright/dim light, noise, fumes, odors, and traffic.
  • Mobility around an office environment.
  • Frequent and prolonged use of standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
  • Occasional lifting or carrying up to 20 pounds.
  • Occasional pushing or pulling up to 20 pounds.
  • Occasional reaching outward or above shoulder.
