Job Description:

As an Administrative Assistant at our firm, you will be a crucial part in ensuring the efficient day-to-day operations of our office. We are in search of a candidate who possesses excellent communication and problem-solving skills, outstanding organizational capabilities, and the ability to work independently. Your role will encompass a wide range of administrative tasks, as well as providing vital support to our team.

Responsibilities:

  • Client Engagement: Greet and assist clients with their inquiries and appointments, creating a welcoming and professional atmosphere.
  • Document Management: Scan client documents and input data into tax software to facilitate the tax preparation process.
  • Tax Return Preparation: Print and assemble tax returns for both individuals and businesses, maintaining a high level of accuracy.
  • File Management: Keep client files organized, up-to-date, and easily accessible for reference.
  • Mail and Deliveries: Manage incoming and outgoing mail, including certified mail, FedEx shipments, and local deliveries.
  • Data Entry: Perform data entry using financial software, including QuickBooks, ensuring accuracy and precision.
  • Office Supplies: Oversee the management and ordering of office supplies to maintain a well-stocked and efficient work environment.
  • Adaptable Support: Undertake additional job-related tasks and responsibilities as required, contributing to the smooth operation of the office.

Qualifications:

The ideal candidate will possess the following qualifications:

  • Experience: 1-3 years of administrative assistant or related office support experience preferred.
  • Tech Proficiency: Proficiency with technology and various software programs, including QuickBooks, Adobe, Office 365 (Excel, Word, Outlook, Access, PowerPoint), with a willingness to adapt to new programs and technologies as needed.
  • Attention to Detail: Exceptional attention to detail and a strong commitment to accuracy, organization, and quality in all tasks and communications.
  • Multitasking: Ability to effectively prioritize, multitask and meet tight deadlines in a fast-paced environment while maintaining a high level of accuracy.
  • Communication Skills: Excellent written and verbal communication skills, along with strong interpersonal and customer service capabilities.
  • Problem Solving: Strong problem-solving and analytical skills.
  • Equipment Competence: Competence in operating standard office equipment, including computers, telephone systems, ten-key calculators, copiers, and fax machines.
  • Instruction Adherence: Ability to follow oral and written instructions carefully while maintaining professionalism, confidentiality, and attention to detail.
