ADAMH is seeking a new Administrative Assistant! In this role, you will provide administrative, secretarial and varied support for assigned senior staff, department director and other managers.

What you'll do:
  • Provide primary administrative support to assigned department and works collaboratively with cross functional team members to achieve individual, team and organizational goals.
  • Provide front desk support coverage for breaks, lunches, and as needed.
  • Answer all incoming phone calls promptly; provides and records accurate information and transfers information in a timely manner; greet and direct visitors, vendors and others as they enter the building, in a friendly and professional manner; prepare mailing labels and assemble materials for mailing.
  • Collect, sort, and scan or distribute incoming mail and interoffice correspondence. Prepare documents and correspondence; produce copies from standard or confidential hand-written or oral instruction.
  • Solicit and reviews team meeting requests, prioritize appointments, and coordinate scheduling with internal and external parties.
  • As required, oversee and processes vendor invoices and maintain accurate records of assigned team's budget.
  • Track ongoing inventories; order office supplies; obtain proper approvals and submits order requests for purchase; follow up to ensure supplies are received.
  • As required, create, develop, organize, compile and maintain up-to-date databases.
  • Provide technical assistance to staff on software applications and remain up-to-date on existing software and knowledgeable of changes in software applications.
  • Reserve meeting rooms; plan, schedule, and coordinate registration and physical layout of meeting sites.
  • Develop presentations for assigned team.
  • Create, organize and maintain an alpha filing system; accurately file a variety of documents for easy access and retrieval and ensures compliance with records retention schedule; may serve as a team records manager.
  • Record and produce concise meeting minutes; provide meeting prep support (e.g. editing and printing talking points, meeting materials).
  • Develop presentations for assigned executive and team.
  • Serve as the backup to office management and support services team.
  • Other duties as assigned.

What we're looking for:

Education: High school diploma or GED.

Experience: Two (2) years' work experience in administrative support or related field.

Skills: Strong Excel, Word, and Outlook and SharePoint skills in MS Office.
Strong organization, planning, time management, and prioritization skills.
Able to work effectively with diverse populations.
Able to represent the board in a professional manner.
Able to operate effectively as a team member to achieve overall objectives.
Able to prioritize and handle multiple tasks while meeting deadlines.
Strong business acumen and communication skills.
Good problem-solving and negotiation skills
