    Responsibilities

    • This position serves as the Administrative Support Assistant for the Anne Spencer Daves College of Education, Health, and Human Sciences' Center for Couple & Family Therapy (CCFT). This position will operate independently on a variety of matters to ensure daily operations of the CCFT.
    • Responsible for a wide variety of administrative and office support duties, including, but not limited to, ordering and receiving supplies, performing office inventory, submitting work orders, and preparing a variety of materials (routine correspondence, basic reports, forms, etc.).
    • Responsible for therapist scheduling, clinic and waitlist databases. Maintains scheduling, client files, and accounts receivable in the electronic medical records system, Owl Practice.
    • Manages front reception duties related to phones and scheduling operations. Assists faculty, students and visitors with questions related to the Center for Couple and Family Therapy. Serves as first point of contact for clients. Accepts client payments for services, including past due balances, ensuring credit card policies and procedures are followed.
    • Assists in training and working alongside undergraduate intern students in administrative responsibilities related to checking clients in and scheduling. Analyzes and makes recommendations on office operational needs to Center Director. Other duties as assigned.

    Qualifications

    High School diploma or equivalency and two years experience or a combination of post high school education and experience equal to two years.

    • Ability to perform basic mathematical calculations
    • Excellent writing, communication, organizational, and time management skills.
    • Ability to understand, analyze, and interpret documents such as informed consent documents and assessment materials.
    • Ability to maintain a professional, confidential work environment.
    • Ability to work with emotional callers/visitors in a professional and courteous manner.
