Administrative Assistant

We are currently seeking an experienced Administrative Assistant for an opportunity in Binghamton, NY. This position provides comprehensive administrative and operational support to an engineering organization, site leadership, and the broader facility.
This is a highly visible position that serves as a central resource for employees, leadership, visitors, and general site operations. The ideal candidate will be organized, professional, comfortable juggling multiple priorities, and able to work independently in a fast-paced environment.
Location: Binghamton, NY
Work Arrangement: Fully Onsite
Schedule: Monday–Friday, 7:30 AM–4:30 PM core hours
18.00 - 19.00 hourly
Overtime: Not expected
Assignment: Contract with possible temp-to-perm opportunity based on performance and business needs
Interviews: Virtual, with the possibility of a second in-person interview
What You Will Do
Serve as a primary point of coordination for day-to-day site needs and activities, including support for site leadership.
Respond to general site inquiries, assist visitors, and route information to the appropriate individuals or departments.
Welcome visitors and help ensure smooth daily site operations.
Maintain facility-wide distribution lists and organize site documentation, including safety information, emergency procedures, and reference materials.
Coordinate onsite and offsite meetings, events, meals, and employee engagement activities.
Help plan and support employee morale-building initiatives.
Manage digital signage and workplace displays to ensure information remains current.
Coordinate catering for meetings and events.
Assist with ordering and organizing office supplies, business cards, and shipping needs.
Support new-hire onboarding, including workspace assignments, desk setup, and employee resources.
Arrange domestic and international travel in accordance with company policies.
Assist employees and leaders with corresponding expense reports.
Prepare and distribute site-wide communications, including announcements, new-hire welcomes, and event updates.
Provide calendar assistance to leadership.
Coordinate customer visits, onsite meetings, and conference room usage.
Assist with community involvement activities, including local community grants.
Complete Denied Party Screenings as required.
Prepare presentations, meeting materials, reports, and other documents using Microsoft Office.
Collaborate with other administrative professionals to provide coordinated support across teams.
Assist with additional administrative projects and responsibilities as business needs evolve.
Required Qualifications
High school diploma or AA/AS degree plus at least 4 years of relevant administrative experience, OR
6 years of relevant experience without a degree.
Demonstrated ability to manage multiple tasks, meet deadlines, and adjust to changing priorities.
Strong written and verbal communication skills.
Proficiency with Microsoft Office Suite.
Must be a U.S. Citizen or U.S. Person (Green Card Holder).
Preferred Qualifications
Experience supporting multiple leaders or engineering organizations.
Experience with Concur, SAP, Ariba, SharePoint, or similar administrative platforms.
Experience with calendar management, travel arrangements, and expense reporting.
Strong customer service skills and ability to remain professional under pressure.
Experience coordinating site-wide events, meetings, onboarding, facilities, or operational activities.
Ability to quickly learn new systems, tools, and technologies.
Strong organizational skills and attention to detail.
