PGS Worldwide is seeking an Administrative Assistant in Austin, TX for a contract-to-hire role supporting a leading aerospace & defense company.

The Administrative Assistant will support an onsite factory population of 300+ employees by handling reporting, data analysis, administrative coordination, purchasing support, travel support, and department documentation. This role requires strong Microsoft Office skills, attention to detail, and the ability to work independently in a fast-paced operations environment.

Required Skills

  • Associate degree in Business Administration or equivalent and 2+ years of related experience, or high school diploma/equivalent with specialized coursework and 6+ years of related experience.
  • Experience as an Administrative Assistant in a dynamic office environment.
  • U.S. citizenship required.
  • Proficiency with Microsoft Office tools.
  • Intermediate to advanced Excel experience.
  • Access experience.
  • Word experience.
  • Experience with database manipulation.
  • Ability to compile, analyze, and present data in report form.
  • Ability to prepare graphs, charts, reports, presentation materials, and written documentation.
  • Ability to support statistical, budgetary, material, Client, or time studies.
  • Ability to develop and maintain departmental operating instructions.
  • Ability to coordinate with management, peers, and department personnel.
  • Action-oriented, proactive work style.
  • Ability to work autonomously after training.
  • Ability to support a large onsite factory population.
  • Ability to walk frequently throughout the facility.
  • Ability to occasionally lift 30+ lbs.

  • Strong knowledge of the Microsoft Office suite.

  • Experience with labor distribution reports, Client reports, budgets, travel arrangements, expense reporting, supply ordering, purchasing support, and operations administration.

What You'll Do

  • Compile and analyze data for reports, charts, graphs, and presentations.
  • Support department projects, objectives, and operating instructions.
  • Prepare written documentation and presentation materials.
  • Analyze forms and internal information flow for process improvement.
  • Coordinate with management and department personnel to gather and exchange information.
  • Support travel arrangements, expense reporting, purchasing, supply ordering, and related administrative tasks.
  • Provide administrative support to an operations director and onsite factory workforce.

Work Schedule / Shift

  • 1st shift, Monday–Friday.
  • 9/80 schedule.
  • Tentative hours: 7:00 AM–4:00 PM.
  • Full-time, 40 hours per week.
  • Overtime expected as needed.

Pay

  • $24.34/hour
