Position Overview

We are seeking an experienced Administrative / Raw Material Assistant to provide administrative, payroll, data-entry, purchasing, and materials support within a manufacturing plant.

This is a multifaceted position supporting Plant Management and hourly employees. Responsibilities include HR and payroll administration, employee timekeeping, SAP data entry, invoice receiving, purchasing support, raw material management, reporting, and general office administration.

The ideal candidate has strong Excel and data-entry skills, experience working with SAP or a similar ERP system, and the ability to work independently in a fast-paced manufacturing environment.

Key Responsibilities

Administrative & Plant Support

  • Provide day-to-day administrative support to Plant Management.
  • Manage general office processes, mail sorting, and office supply inventory.
  • Plan and coordinate meetings and special events.
  • Coordinate housekeeping concerns with plant staff.
  • Maintain organized electronic and paper records.
  • Perform accurate and timely data entry.
  • Assist with special projects and other administrative duties as assigned.

HR, Payroll & Timekeeping

  • Provide administrative HR and payroll support for hourly plant employees.
  • Maintain employee timekeeping records using UKG/Kronos.
  • Review employee punches and make appropriate time-code adjustments for vacation, personal days, overtime, training, on-call time, and other categories.
  • Complete weekly timekeeping review and payroll sign-off.
  • Process and maintain payroll-related forms, including vacation and meal allowances.
  • Maintain vacation and personal-day tracking spreadsheets.
  • Process employee leave forms and coordinate information with HR/Payroll.
  • Prepare weekly absenteeism and disciplinary reports.
  • Maintain employee calendars and related Excel tracking documents.
  • Support employee safety shoe and tool allowance programs.

The current requisition confirms that the site uses UKG for timekeeping and that the position performs HR and payroll support for hourly plant employees.

SAP, Purchasing & Raw Materials

  • Enter and maintain information within SAP and related business systems.
  • Receive and process invoices.
  • Provide purchasing and receiving support using SAP and IOL.
  • Support MRO-related transactions and recordkeeping.
  • Assist with raw material management and related administrative processes.
  • Maintain accurate purchasing, receiving, and inventory-related records.
  • Work with plant personnel to resolve discrepancies or missing information.

Reporting & Data Analysis

  • Coordinate monthly safety, production, and sales reports.
  • Compile and analyze operational data as requested by Sales, Marketing, Operations, and Plant Management.
  • Maintain spreadsheets and reporting files using Microsoft Excel.
  • Collect and maintain data required for environmental and regulatory reporting.
  • Support annual Waste Management reporting and NPRI-related data collection and recordkeeping.
  • Assist with preparation and distribution of required reports.

Qualifications

  • Minimum Associate degree in Business, Accounting, or a related discipline preferred, or equivalent progressive work experience.
  • 3–5 years of practical data-entry/administrative experience preferred.
  • Strong Microsoft Excel skills are required.
  • Experience with SAP or a comparable ERP system strongly preferred.
  • Experience with UKG/Kronos or another timekeeping/payroll system is highly desirable.
  • Previous payroll, HR administrative, purchasing, receiving, or manufacturing-office experience is a plus.
  • Strong quantitative, analytical, and computer skills.
  • Excellent attention to detail and data accuracy.
  • Strong written and verbal communication skills.
  • Ability to work independently while collaborating effectively with plant, HR, payroll, and operations teams.
  • Strong organizational and interpersonal skills.

The live requisition specifically calls for 3–5 years of practical data-entry experience, SAP or equivalent software skills, and proficiency in Excel.

Work Environment

This position is based within a manufacturing facility. While much of the work is administrative, employees may periodically enter production areas.

The plant is not fully temperature controlled and may include dust, fumes, high noise levels, moving industrial equipment, and manufacturing materials such as fiberglass, sand, granules, asphalt coating, crushed rock, and polypropylene.

The position may involve extended periods of computer work as well as occasional walking, standing, bending, twisting, stair climbing, and movement through plant areas.

Schedule: 7:30 AM–2:30 PM
Hours: 32.5 hours per week
Pay: $18.00–$22.00/hour
Assignment: October 5, 2026 – April 9, 2027
