Job Summary

We are seeking a highly motivated and professional Administrative Assistant to support the Early Career Talent Office within our Technology Organization. This role goes beyond typical administrative responsibilities—you will be at the heart of programs that attract, develop, and support the next generation of technology talent. You will provide direct support to leaders, coordinate events, manage vendor relationships, and ensure seamless program operations.

Key Responsibilities

  • Provide executive-level administrative support, including calendar management, travel coordination, and expense tracking.

  • Prepare, proof, and edit executive-level PowerPoint presentations and professional communications for senior leaders.

  • Plan and coordinate recruiting events, onboarding sessions, and internal meetings—including logistics, catering, lodging, and transportation.

  • Partner with HR to support campus recruiting events, compliance, and onboarding activities.

  • Manage departmental SharePoint, documentation, social media content, and communication channels.

  • Interface with vendors to obtain proposals, negotiate services, and coordinate program logistics.

  • Track volunteer participation, meeting minutes, and action items to support program delivery.

  • Develop surveys, compile feedback, and report on program KPIs and performance metrics.

  • Provide general office support, including fielding calls, document handling, and maintaining supplies.

  • Handle confidential intern and program data with the highest level of discretion.

Qualifications

Education & Experience:

  • High School Diploma required; college coursework or degree preferred.

  • 3–5 years of administrative experience supporting managers, directors, or executives.

  • Experience in a fast-paced, dynamic office environment required.

  • Event planning, vendor coordination, and HR/recruiting support experience highly desirable.

Skills & Knowledge:

  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, SharePoint, OneNote).

  • Advanced PowerPoint skills for executive presentations.

  • Strong written, verbal, and presentation communication abilities.

  • Excellent organizational skills with the ability to manage multiple priorities and meet deadlines.

  • Strong problem-solving and decision-making skills.

  • Professional demeanor with the ability to interact effectively across all levels—interns, peers, executives, and external partners.

Attributes:

  • Proactive, detail-oriented, and highly organized.

  • Strong customer service mindset with a heart for supporting early career talent.

  • Ability to maintain confidentiality and exercise discretion.

  • Flexible and adaptable in a fast-paced environment with changing priorities.
