Primary Purpose of Organizational Unit
The Restorative Sciences Department is an internationally recognized group of oral health professionals that combines three divisions consisting of general dentistry, operative dentistry, and prosthodontics. The department supports the dental education program, advanced education programs in prosthodontics and general dentistry along with master's degree programs (including operative dentistry), community service and outreach, faculty practice and scholarship activities.
Position Summary
The Administrative Support Specialist provides advanced-level administrative, operational, financial, and program management support for the Department of Restorative Sciences - Operative, including the Graduate Operative Program and Clinic. This position independently administers complex academic, financial, operational, compliance, and faculty affairs functions requiring the interpretation and application of University, Graduate School, procurement, accreditation, immigration, and departmental policies and procedures. The incumbent exercises substantial independent judgment and decision-making authority to resolve complex and non-routine issues, develop and implement administrative processes, recommend operational improvements, and manage outcomes that directly impact departmental operations, graduate education, faculty support, regulatory compliance, and institutional objectives.
Serving as the department's primary administrative resource for faculty, residents, students, departmental leadership, and institutional partners, the position manages a broad portfolio of responsibilities supporting the department's academic, clinical, research, and administrative missions. Responsibilities include graduate program administration; financial and procurement management; faculty recruitment, onboarding, appointments, and reappointments; accreditation (CODA) coordination; employment-based immigration support through H-1B and International Student and Scholar Services (ISSS) processes; vendor and contract administration; operational reporting; and coordination of departmental initiatives. The position independently evaluates and improves administrative processes, coordinates activities across multiple University departments and external organizations, provides guidance and training to faculty and staff, and ensures continuity of departmental operations.
The Department of Restorative Sciences - Operative requires comprehensive knowledge of University policies, graduate education, accreditation standards, financial management, procurement, and clinical operations. The incumbent regularly interprets and applies complex institutional policies and procedures, manages competing priorities with minimal supervision, serves as a departmental subject matter expert for administrative operations, and supports departmental compliance with University, state, federal, and accreditation requirements while advancing the department's strategic goals.
Minimum Education and Experience Requirements
High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.
