Job Description:
The Import Operations, E-Commerce & Commercial Coordinator supports the movement of manufactured products from overseas suppliers into the U.S. market while helping manage day-to-day e-commerce and commercial operations.
This role combines import and shipment coordination, order and document control, vendor communication, e-commerce website maintenance, spreadsheet analysis, and practical problem solving. The ideal candidate understands how operational details impact product cost, margin, inventory, customer commitments, and cash flow.
Job Duties:
Track purchase orders and production milestones from supplier confirmation through international freight, customs clearance, receipt, and final delivery
Review commercial invoices, packing lists, bills of lading, shipment quantities, SKUs, unit costs, freight details, and receiving records for accuracy
Organize product costs, freight, duties/tariffs, brokerage, transportation, and other import expenses to support landed-cost calculations
Calculate COGS, gross profit, gross margin percentages, and basic pricing scenarios
Communicate with overseas suppliers, freight forwarders, customs brokers, warehouses, customers, and internal teams
Maintain accurate trackers for open purchase orders, inbound shipments, ETAs, backorders, inventory, and customer commitments
Create and maintain e-commerce product listings, including SKUs, specifications, pricing, images, inventory availability, shipping information, and customer-facing content
Monitor online orders through fulfillment and assist with inventory allocation, shipping updates, order exceptions, returns, and customer follow-up
Assist with website merchandising, promotions, product organization, and basic e-commerce performance reporting
Identify and help resolve inaccurate pricing, inventory discrepancies, broken website content, order issues, and other workflow problems
Use Excel, Outlook, Word, and Microsoft 365 tools to organize information, analyze data, communicate, and maintain follow-up
Research unfamiliar business or operational issues using credible online resources and appropriate technology tools
Investigate cost, quantity, timing, labeling, quality, and documentation discrepancies and help drive issues through resolution
Provide cross-functional support to sales, accounting, operations, management, and outside partners
Requirements:
Working knowledge of the supply-chain process, including purchase orders, production, international freight, customs/import clearance, domestic delivery, receiving, inventory, and customer fulfillment
Strong Excel skills, including formulas, filters, sorting, operational tracking, and data reconciliation
Proficiency with Microsoft Office and Outlook
Experience maintaining an e-commerce or business website, including product listings, pricing, inventory, content updates, or online-order workflows
Ability to accurately calculate gross profit and gross margin and understand basic product-cost and pricing concepts
Strong attention to detail when reviewing quantities, costs, dates, SKUs, and documentation
Strong problem-solving skills with the ability to identify missing information and determine appropriate next steps
Excellent written and verbal communication skills
Ability to manage multiple priorities and follow through without constant supervision
Comfortable learning new technology and using online research tools responsibly
Preferred Experience:
Importing, distribution, manufacturing, logistics, freight forwarding, purchasing, inventory, or order management experience
QuickBooks, ERP/order-management software, CRM systems, or advanced Excel/Google Sheets experience
E-commerce or digital commerce operations experience
Battery, automotive, marine, powersports, solar, mobility, or industrial product experience
Experience working in a small or growing business where priorities can change quickly
