- Provide routine administrative support for multiple WLHSDM clinical and biomedical faculty by acquiring materials pertinent to lectures such as but to limited to providing copies, creating forms and documents, building presentations, and uploading and navigating information onto curriculum software (i.e. PowerPoint, Kahootz, Kaltura, PollV, etc.).
- Provide excellent customer service as the point of contact for the faculty ring or front desk when answering telephone, directing inquiries, and greeting all guests in the restricted area.
- Perform technical program assistance to include but not limited to conference information for processing, troubleshooting PC challenges, provide software training, and submitting work orders as needed.
- Determine the type of AV support required for all events, meetings and educational activities, providing support by reserving meeting rooms, submitting facilities and AV equipment work orders and manage the catering for mission related committee meetings/events.
- Oversee upkeep of the faculty community area and copy center, and maintain adequate stock levels of office supplies to ensure productive office environment for faculty.
- Serve as a shopper on TechBuy for office supplies and communicate the need for equipment tags and verification with the Property Management Inventory System.
- Serve as delegate on travel system to assist faculty with travel by collect travel materials, approvals, reconcile reimbursements, etc.
- Adhere to Unit Safety Officer duties for the faculty as assigned while working closely with the Department of Safety Services.
- Provide administrative support for the Office of Academic Affairs for the WLHSDM such as assist in the assembly of materials needed, participate in proctoring as a regular member; and comply with all applicable policies and procedures and institutional and departmental guidelines.
- Supports administrative functions and operations for the Office of the Dean as assigned. Must be able to accomplish tasks in a timely manner as requested by direct supervisor. Demonstrate flexibility and team orientation by efficiently and effectively performing other tasks or duties as may be assigned.
- Remains current with all licensures, certifications and mandatory compliances and trainings required of this position.
- Adhere to all policies, procedures and practices (Regents Rules, TTUS, HSECEP OPs, etc.).
