Job Summary

We are seeking a detail-oriented and professional Administrative Assistant to provide administrative and office support to a leadership office within a public-sector organization.

The ideal candidate will be highly organized, dependable, and able to manage multiple priorities while handling sensitive and confidential information with discretion.

Key Responsibilities

  • Answer phone calls, greet visitors, and direct inquiries to the appropriate personnel or facilities.
  • Receive, sort, and distribute incoming mail and packages.
  • Serve as a point of contact for office and facilities-related matters.
  • Coordinate with internal IT teams to address technical issues and support office operations.
  • Order, organize, and maintain office supplies and inventory.
  • Manage and coordinate calendars, meetings, conference rooms, and meeting logistics.
  • Schedule meetings with internal and external stakeholders.
  • Prepare, format, organize, and maintain correspondence, documents, files, and records.
  • Assist with preparation of meeting materials and tracking follow-up items.
  • Provide general administrative and executive-level support to leadership as needed.
  • Perform other administrative duties and special projects as assigned.

Required Skills & Qualifications

  • Prior experience as an Administrative Assistant or in a similar administrative support role.
  • Knowledge of standard administrative procedures and office practices.
  • Strong data-entry skills with excellent attention to detail.
  • Excellent written and verbal communication skills.
  • Strong organizational and time-management abilities.
  • Ability to manage multiple competing priorities and meet deadlines.
  • Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
  • Ability to handle sensitive and confidential information with professionalism and discretion.
  • High school diploma or equivalent combination of education, training, and experience.

Preferred Qualifications

  • Experience providing administrative or executive-level support.
  • Experience supporting senior management, leadership, or an executive office.
  • Experience with calendar management, meeting coordination, correspondence, and document preparation.
  • Experience working in a professional, government, corporate, or public-sector environment.
