Administrative Assistant
Location: Fairfax, VA 22035
Duration: 3–6 months | Initial 14 weeks, NTE 6 months
Pay Rate: $20/hour
Job Summary
We are seeking a detail-oriented and professional Administrative Assistant to provide administrative and office support to a leadership office within a public-sector organization.
The ideal candidate will be highly organized, dependable, and able to manage multiple priorities while handling sensitive and confidential information with discretion.
Key Responsibilities
- Answer phone calls, greet visitors, and direct inquiries to the appropriate personnel or facilities.
- Receive, sort, and distribute incoming mail and packages.
- Serve as a point of contact for office and facilities-related matters.
- Coordinate with internal IT teams to address technical issues and support office operations.
- Order, organize, and maintain office supplies and inventory.
- Manage and coordinate calendars, meetings, conference rooms, and meeting logistics.
- Schedule meetings with internal and external stakeholders.
- Prepare, format, organize, and maintain correspondence, documents, files, and records.
- Assist with preparation of meeting materials and tracking follow-up items.
- Provide general administrative and executive-level support to leadership as needed.
- Perform other administrative duties and special projects as assigned.
Required Skills & Qualifications
- Prior experience as an Administrative Assistant or in a similar administrative support role.
- Knowledge of standard administrative procedures and office practices.
- Strong data-entry skills with excellent attention to detail.
- Excellent written and verbal communication skills.
- Strong organizational and time-management abilities.
- Ability to manage multiple competing priorities and meet deadlines.
- Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
- Ability to handle sensitive and confidential information with professionalism and discretion.
- High school diploma or equivalent combination of education, training, and experience.
Preferred Qualifications
- Experience providing administrative or executive-level support.
- Experience supporting senior management, leadership, or an executive office.
- Experience with calendar management, meeting coordination, correspondence, and document preparation.
- Experience working in a professional, government, corporate, or public-sector environment.
