On-Site Services SpecialistRequired Education • High School Diploma or EquivalentRequired Qualifications/Skills/Experience • Minimum 06 months to 01 year of experience with mail management systems, shipping/receiving, and mail distribution • Copier maintenance, troubleshooting, or repair experience • Excellent customer service skills • Good PC skills • Ability to use office machines and technical equipment • Ability to operate a cutting machine while standing for the entire shift • Ability to lift up to 50 pounds when neededOn-Site Services Specialist Overview • Provides operations support across one or more areas, including high-volume duplicating, document imaging, mail management, digital printing, shipping and receiving, and office services • Operates high-volume copying, document imaging, mail management, and related software and equipment while completing associated copying, finishing, quality control, and final-check tasks • Handles incoming and outgoing mail and faxes, sorts and distributes materials, applies postage, and ships and receives products and supplies • Provides copier maintenance and/or repair support, responds to customer requests, coordinates service calls, and maintains required records and logs • May perform bindery, filing, housekeeping, call center, reception, meeting room setup, building support, and light maintenance functions • May require periodic overtime on nights and weekends, including off-hour emergency response • Employees performing receptionist functions are considered Senior On-Site Services Specialists due to the higher level of presentation and telephone skills required • Reports directly to the Site Manager, Site Supervisor, or Assistant Site Manager, depending on site personnel configurationJob Duties • Run high-volume copy machines and perform binding and finishing work • Operate high-volume document imaging systems and document image handling software • Operate MS Office and email systems for opening, sending, and retrieving files • Open, save, and transfer PC files based on established protocols • Access document management systems via established protocols • Ensure convenience copiers are working properly and perform daily quality inspections • Clear paper jams and inform technicians of specific equipment problems • Maintain records for management reports and inventories of needed supplies • Distribute office supplies, fax transmissions, and mail to company personnel and designated drop-off points as required • Calculate charges for jobs performed and maintain billing logs • Respond to and coordinate customer service calls • Perform filing duties in conjunction with specific customer requests • Deliver completed jobs to predetermined customer locations within and outside the site • Maintain daily meter and service logs • Travel between customer buildings as required • Answer customer questions regarding the status or feasibility of job requests • Perform meeting room and conference room setups as required • Perform building occupant moves within assigned facilities as required • Perform re-lamping and light maintenance duties as assigned • Generate reports for digital printing, imaging, and mail systems in digital format • Sort, distribute, and handle incoming and outgoing mail and faxes and apply necessary postage • Provide copier maintenance and/or repair of customer site equipment**Only those lawfully authorized to work in the designated country associated with the position will be considered.****Please note that all Position start dates and duration are estimates and may be reduced or lengthened based upon a client's business needs and requirements.**
