Workplace Operations Coordinator

Location: San Francisco, CA 94105 — Onsite
Openings: 2
Contract: 6-month W2 contract
Pay: $70–$80/hour depending on experience



Russell Tobin is hiring Workplace Operations Coordinators to support a leading technology and artificial intelligence organization in San Francisco.

This role is ideal for an experienced workplace or facilities professional who enjoys creating a safe, functional, welcoming, and high-performing office environment. You’ll work closely with internal workplace teams, Security, People Operations, and external vendors to support day-to-day building operations and deliver a consistently high level of service to employees.



What You’ll Do

  • Coordinate and manage vendors supporting day-to-day office operations, including deliveries, office supplies, janitorial services, maintenance, and repairs.
  • Partner with the broader workplace team to ensure office buildings remain safe, functional, comfortable, and well maintained.
  • Respond to employee workplace requests through an internal ticketing system while meeting service-level expectations and providing clear, timely communication.
  • Troubleshoot and coordinate resolution of workplace issues such as elevator outages, plumbing concerns, refrigeration problems, lighting issues, and other facilities-related needs.
  • Perform minor repairs and maintenance tasks and engage appropriate vendors for more complex work.
  • Support emergency response activities in partnership with Security and assist with local safety and code-compliance requirements.
  • Manage multiple competing priorities and exercise sound judgment when determining urgency and next steps.
  • Set up furniture and room configurations for onsite meetings, events, and employee needs.
  • Complete workstation setups, including monitors, monitor arms, ergonomic equipment, and related office hardware.
  • Help maintain workplace Standard Operating Procedures and operational documentation.
  • Partner closely with People Operations, Security, workplace colleagues, and external service providers.
  • Support HVAC coordination, preventive maintenance programs, office moves, restacks, and space reconfigurations.
  • Assist with permits, inspections, safety requirements, and applicable building-code compliance.



What We’re Looking For

  • 4+ years of experience in workplace operations, facilities coordination, building operations, office services, or a related field.
  • Working knowledge of commercial building systems such as HVAC, elevators, plumbing, lighting, and related facilities infrastructure.
  • Experience coordinating maintenance, repairs, vendors, and building services.
  • Strong customer-service mindset with a practical, solutions-oriented approach.
  • Ability and willingness to handle both hands-on operational tasks and administrative coordination.
  • Excellent organization, communication, and prioritization skills.
  • Comfortable managing multiple requests in a fast-paced, highly collaborative environment.
  • Ability to lift up to 50 pounds.
  • Ability to work onsite in San Francisco.



Preferred Qualifications

  • Experience managing workplace or facilities projects such as preventive maintenance, HVAC initiatives, office moves, restacks, or space reconfigurations.
  • Experience supporting multiple buildings or a rapidly growing workplace environment.
  • Background in vendor management, hospitality, food and beverage operations, or employee experience.
  • Experience coordinating permits, licenses, inspections, or building-compliance requirements.
  • Experience supporting workplace operations within a technology, software, startup, or similarly fast-paced organization.


This is a hands-on role for someone who takes pride in making workplaces run smoothly and creating an environment where employees can focus, collaborate, and do their best work.
