Job Overview

The Vendor Support Specialist plays a critical role in supporting division-wide operations, vendor management, billing coordination, and onboarding processes. This position ensures smooth internal workflows, accurate data management, and strong vendor relationships while contributing to organizational growth and operational efficiency.

This position is intended to offer growth and development opportunities within an expanding team. This individual will be responsible for learning about the business while cultivating strong relationships with internal and external stakeholders.

Essential Duties:

Financial planning and analysis, accounts receivable and payments

  • Track revenue across multiple service lines, vendors, down to the property level
  • Calculate monthly or quarterly payouts to internal divisions by state, region, market
  • Ensure accurate and timely collection of monthly, quarterly or annual fees from vendors

Vendor relationship management

  • Act as communication liaison between our division and partner vendors

  • Answer queries or requests and address issues raised by vendors

  • Oversee the full vendor onboarding and compliance process:

  • Collect applications and conduct required checks

  • Prepare and store agreements and compliance documents (COI, W9, etc.).

  • Manage onboarding communications

  • Attend local events where necessary - vendor sponsored or FirstService events

Marketing

  • Partner with marketing team and external vendors to develop new ideas and content for strategic campaigns, program rollouts, emails, flyers and presentations
  • Maintain and update our division's internal SimplrHUB (SharePoint) website which includes news updates and company-wide preferred vendor list for our community managers

Document and data management

  • Maintain and organize shared drive structures to organize vendor contractors, templates, marketing materials and financial information
  • Manage and update master community lists for vendors, including monthly distribution

General administrative and operational support

  • Document formatting, data reconciliation, email communication distribution
  • Other duties as assigned

Education & Experience

  • Associate degree or higher

Knowledge, Skills & Proficiencies

  • Strong verbal and written communication skills.
  • Demonstrates thoughtful leadership in creating efficiencies and process improvements.
  • Detail oriented and strong organizational skills and multi-tasking skills.
  • Project management experience with focus on process improvement
  • Must have strong proficiency in Windows and Microsoft Office, including but not limited to word processing, spreadsheet maintenance, navigating in databases, record keeping and researching the Internet.
  • Ability to work with sensitive or confidential information.
  • Ability to meet deadlines and work well under pressure.
  • Ability to work in a team environment as well as independently and be self-driven
  • Critical thinking, financial acumen, problem solving and decision-making abilities.

Compensation

$30/hr
