Description
The Testing Laboratory Administrative Assistant performs basic clerical, administrative and general office activities to support the facilitation of administrative workflow within the manufacturing testing laboratory.
Job Specifications
- 3-5 years related administrative experience.
- Attention to detail.
- Self-motivated.
- High school diploma or equivalent
- Average oral and written communication skills
- General personal computer knowledge
- Valid driver's license, current proof of insurance and clean driving record
- Experience with Microsoft Office Suite, creating tables, graphs, and editing word documents.
- Set and adhere to the highest level of integrity, morals and ethics.
Working Conditions; Physical & Mental Demands:
- Shipping - Heavy work, indoors: Physical ability to work in temperatures ranging from 32 to 100 degrees Fahrenheit.
- Inventory - Warehouse environment
- Refrigerator and freezer type environment, temperature as low as (but not limited to) -25F
Responsibilities
- Attend daily and weekly project and planning meetings. Take minutes, update electronic tracking reports and circulate as necessary.
- Input data into spreadsheets.
- Assume responsibility of writing all technical documentation for the testing lab (Production Lab, Ramona Ranch and others as necessary). Submit these documents via the SmartSolve system and track them to completion.
- Ordering and tracking of items for production departments
- Completing of Form 286 for items going to Tecate.
Placing ePOR for services provided by external suppliers (ex. IDEXX, QED, etc.).
- Submission and following up on work orders for the maintenance of the lab space.
- Ordering, tracking and coordination of activities related to new programs.
- Schedule and hold periodic meetings to keep programs on track.
- Create, update, and maintain Levy Jennigs charts. Have regular meetings with manager to discuss trends and findings.
- Organize, track, and oversee stock of lot controls.
- Updating, tracking and filing of CLST's. Submission of PN request forms for new parts based on CLST.
- Facilitating and tracking (to ensure completion within 48 hours as required by the SOP) of MPPW's for new ascites orders received between Lab and Tecate Vivarium.
- Assist in final batch record release to include submission of samples to QC and follow up for receipt of results and submission of packets to QA.
- Prepare specimens, samples and solutions for testing.
- Maintain lab records, calibration documents, SDS, and document archival.
- Document test findings, OOS, failures, deviations, troubleshooting.
- Ensure the laboratory is well-stocked and resourced. Work with purchasing to update min/max of reagents in the warehouse.
- Maintain cleanliness and orderliness in the laboratory.
- Follow the proper processes, rules, and health and safety guidelines.
- Lift up to 20 pounds.
- Regular, reliable and predictable attendance
- May perform other job related duties as assigned
- May be assigned to any Scantibodies location for any period of time
- May be required to perform other duties as assigned by supervisor. This may include duties in another department or outside your normal scope of work
