Position Title: Bilingual Talent Acquisition Coordinator
Work Schedule/ Location: Hybrid in San Francisco, CA or Union City, CA (on site 2 days per week).
Hours: M-F 8:00 AM - 4:30 PM
Temporary for 3 months - the right candidate will be able to extend to a full-time employee
Salary: $27 - $30/ hour DOE
JOB PURPOSE
Under the direction and supervision of the Talent Acquisition Manager, the Talent Acquisition Coordinator is
responsible for supporting the Talent Management team with the recruiting and onboarding processes. They work in
partnership with the Talent Acquisition Specialists, Recruiters, and hiring managers. The Talent Acquisition
Coordinator interacts with each new team member from the time an employment offer is accepted, through initial
onboarding, up to new hire orientation.
ROLES AND RESPONSIBILITIES
- Liaison with new hire once they have accepted
- Ensure consistent and complete pre-onboarding communication with new employee
- Ensure that all hiring forms and processes are completed in advance of the new team member's first day
- Complete full-cycle Onboarding: own newly opened, or aged, Requisitions from inception until closed
- Requisition Intake: review for accuracy and completion and ensure approvals are made in a timely manner; consult with Hiring Manager, if needed, and alert Recruiters to post on Job Boards
- Recruitment: Serve as the primary point of contact to recruiters for a smooth and effective recruiting process; participate in weekly recruiting calls to stay current on openings, search/interview/fill
- Offer Authorization Request form: review for correct completion and process through HR approval step
- Compensation Review: may research and recommend compensation; track declined offers due to compensation and share anomalies with Comp Team and Recruiters
- Ensure all applications are dispositioned and filled openings are closed in a timely manner
- Data entry into On Lok's Human Resources Information System (HRIS)
- Ensure regular communications to key stakeholders
- Facilitate New Hire Orientation including logistics to prepare and finalize the orientation
- E-filing and creation of employee files
- Review and code monthly invoices and maintain Recruiting expense tracker
- Regularly cross train to understand basic responsibilities of HR partners to support/deliver information to clients, as needed; may include Day 1 Onboarding (finish i-9 process; collect necessary paperwork)
- Run and/or participate in community recruiting events
- Participate in projects as assigned for growth opportunities
- Manage the Applicant Tracking System
- Recommend and implement enhancements to improve processes
- Ensure data accuracy, timeliness, and cleanliness in the ATS
- Ensure positions are quickly posted on internal and related external websites
- Consult with the Hiring Manager, as needed
- Provide training sessions to our partners and clients
- Partner with sources (recruiters, interviewers, hiring committees, senior executives, HR leaders) to ensure that all aspects of the candidate evaluation process are clearly communicated and that every internal hiring person involved is familiar and consistent in applying recruiting processes (e.g. Help set up a process to train and then hold managers accountable for legal and effective hiring)
- Teach managers and others in the hiring process to assess all job applicant finalists fairly and consistently
- Document and maintain Talent Acquisition policies and procedures; ensure compliance to all applicable laws, regulations, and policies
