The Position

The Port of Portland is hiring a Talent Acquisition Coordinator

Join a collaborative, forward-thinking Talent Acquisition team that's shaping the future of hiring at the Port. As our Talent Acquisition Coordinator, you'll be the connective thread across the entire recruitment journey, supporting candidates, partnering closely with hiring managers, and ensuring every step feels seamless, inclusive, and human. You'll coordinate key processes, elevate the candidate's experience, help innovate tools and workflows, and contribute to a mission-driven organization that values people, service, and continuous improvement. In this role, youll deliver exceptional customer service while coordinating the day-to-day operations that keep the recruitment process running smoothly. Youll serve as a trusted resource for candidates, hiring managers, and internal partners, providing timely guidance and follow-through from initial outreach through onboarding. Balancing a people-first approach with strong process management, youll support recruiting activities, coordinate interviews and hiring logistics, and contribute to special projects and recruiting events. By keeping processes organized and communication timely, youll help create a positive, welcoming experience for every candidate.

Essential Job Duties

Deliver an Outstanding Candidate Experience

  • Coordinate the recruitment process from requisition through hire, ensuring a seamless experience for candidates and hiring managers.
  • Guide applicants through the application and interview process, providing responsive, customer-focused support.
  • Facilitate new employee onboarding to create a welcoming transition to the Port.

Coordinate Recruitment Operations

  • Manage the day-to-day administrative and coordination activities that support talent acquisition, including interview scheduling, meeting logistics, and communication with internal and external participants.
  • Communicate with hiring managers and Port leadership on recruitment status, updates, and next steps.
  • Monitor onboarding activities and partner with the HRIS Coordinator to ensure all required documentation is completed.

Support Talent Acquisition Systems and Compliance

  • Serve as backup administrator for the applicant tracking system, including user setup, permissions, troubleshooting, and system support.
  • Oversee I-9 compliance, annual audits, recordkeeping, and document retention.
  • Maintain recruitment records, including digital and physical hiring and background investigation files, in accordance with retention requirements.

Contribute to Continuous Improvement

  • Support talent acquisition initiatives, talent pipeline development, and recruiting database management.
  • Recommend tools, ideas, and process enhancements that improve efficiency, strengthen service delivery, and support the Talent Acquisition teams success.

Minimum Qualifications

  • Three (3) +years of progressively more responsible experience in a recruitment role (administration and coordination) with high customer service contact.

  • Familiarity with other HR disciplines is preferred.

  • High School diploma or equivalent.

  • Associates degree in business or related field preferred.

Knowledge, Skills & Abilities

  • Advanced experience with Human Resources practices, primarily related to fair hiring practices and EEOC guidelines.
  • Advanced experience with the recruitment process and advanced working knowledge of applicant tracking systems.
  • Interpersonal communication skills that include a service-oriented demeanor.
  • Highly skilled at independently organizing workload and prioritizing tasks to meet daily needs and weekly deadlines.
  • Independently coordinate myriad details in a highly accurate way; represent the HR Department and the Port through all contacts with tact and diplomacy

Supplemental and Selection Information

Selection Process: (tentative schedule):

  • A minimum qualification evaluation of the education, training, and experience of submitted application packets will take place by Human Resources for this role.
  • A Subject Matter Expert (SME) Panel will perform an evaluation of experience and training taken from your employment application materials.
  • Our goal is to notify candidates who are selected for interviews within 7 days of the role closing. We will then schedule the virtual first round of interviews with candidates who successfully passed the SME evaluation. Panel Interviews will be held afterward.
