The Talent Acquisition Coordinator serves as a critical operational and analytical partner to the recruiting organization in a fast-paced corporate environment. This role supports the full recruiting lifecycle, going beyond scheduling and logistics to include ATS optimization, data integrity, reporting, compliance support, and delivering a high-quality candidate experience. The coordinator works closely with recruiters, sources, hiring managers, and cross-functional teams to ensure efficient and compliant hiring processes.
Responsibilities:
Support end-to-end requisition administration, including job postings, candidate tracking, interview logistics, and invoice processing
Coordinate high-volume, complex interview scheduling across multiple stakeholders, calendars, and time zones (virtual, phone, onsite)
Manage candidate travel, accommodations, and expense tracking/reimbursements
Prepare and distribute interview schedules, guides, and candidate materials
Facilitate post-interview debriefs, collect feedback, and ensure timely candidate dispositioning
Serve as a primary point of contact for candidates throughout the hiring process
Provide proactive communication and status updates
Host and greet candidates during onsite interviews as needed
Maintain accurate and compliant candidate and requisition data within the Applicant Tracking System (Workday preferred)
Post roles internally and externally and configure screening questions
Track offers, interview documentation, and hiring approvals
Ensure recruiting processes comply with employment laws, data privacy standards, and company policies
Generate and maintain recruiting reports related to pipeline health, productivity, and hiring outcomes
Audit ATS and HR system data for accuracy and completeness; identify and resolve discrepancies
Utilize advanced Excel functions (pivot tables, formulas, lookups, charts) to analyze recruiting data
Partner with HR Analytics/HRIS teams on dashboards and reporting initiatives
Support pre-employment processes including background checks, drug screens, and reference checks
Assist with onboarding coordination and new hire readiness with HR, IT, and Payroll
Provide support for recruiting events, career fairs, and university recruiting initiatives
Assist Recruiting Operations or University Relations teams during peak hiring periods
Qualifications:
3+ years of experience in recruiting coordination, HR operations, or talent acquisition support in a corporate environment required.
High School Diploma or GED equivalent required. Bachelors Degree highly preferred.
Proficiency in Microsoft Office (Advanced Excel, Outlook, Word, PowerPoint)
Experience working with an Applicant Tracking System (preferably Workday)
Ability to manage multiple priorities in a fast-paced, high-volume environment
Strong communication and customer service skills with the ability to interact professionally with candidates and stakeholders
Experience with recruiting analytics, reporting, or workforce data
Experience supporting corporate, professional, or campus recruiting programs
Familiarity with compliance, audits, or regulated environments
Experience supporting hybrid or geographically distributed teams.
