    Substation Project Assistant

    Mitsubishi Electric Power Products, Inc. (MEPPI) is seeking a highly organized and detail-oriented Project Assistant to support our Substation Division. This role provides critical support to Project Managers, Project Engineers, and Service Managers through project coordination, material tracking, documentation management, scheduling support, and administrative activities that contribute to the successful execution of customer projects.

    What You'll Do:

    Project Execution & Coordination

    • Maintain project Bills of Materials (BOMs) and track material requirements throughout project execution.
    • Enter and manage purchase orders within business systems and monitor order status to support timely deliveries.
    • Track and document material receipts and inventory transactions.
    • Perform document control activities related to drawings, specifications, transmittals, and technical documentation.
    • Coordinate transportation services for incoming and outgoing shipments, including material returns.
    • Support project scheduling activities by assisting with schedule creation and updates.
    • Participate in project review and scheduling meetings and prepare meeting minutes, action item logs, and project documentation.
    • Assist with site inventory tracking, material management, and project checklists.

    Project Administration & Reporting

    • Prepare project reports, status updates, charts, and graphs to support project management activities.
    • Maintain project data and generate reports utilizing business systems and project tracking tools.
    • Prepare, review, and maintain purchase order records and documentation.
    • Support project teams through administrative activities including filing, document preparation, and special projects.
    • Assist with maintaining accurate project records and supporting project closeout activities.

    Cross-Functional Collaboration

    • Work closely with Project Managers, Project Engineers, Supply Chain, Service, and Operations teams to ensure project objectives are met.
    • Develop and maintain positive working relationships with customers, suppliers, and internal stakeholders.
    • Promote a professional image of MEPPI through responsive and collaborative customer support.

    What You Bring:

    • Education: Associate's Degree in Business, Technical Studies, or a related field.
    • Experience:
      • 1–3 years of experience supporting large projects, project coordination activities, or related administrative functions.
      • Experience supporting engineering, construction, utility, manufacturing, or industrial projects is a plus.

    Skills & Expertise

    • Strong organizational skills and attention to detail.
    • Ability to manage multiple tasks and competing priorities in a fast-paced environment.
    • Effective written and verbal communication skills.
    • Strong analytical and problem-solving abilities.
    • Proficiency with Microsoft Office applications, including Excel, Word, Outlook, and Teams.
    • Ability to work collaboratively within a team-oriented environment.
    • Experience with ERP systems, project management software, or document control systems is a plus.
