We are currently seeking a highly motivated Marketing/Administrative Assistant to coordinate and produce proposals, presentations, brochures, and other marketing collateral as well as perform administrative and office support activities. This position will provide support to multiple people and offices.

 Responsibilities:

Responsibilities include, but are not limited to, reviewing requests for proposals to determine the required format, information, and approach to meeting proposal specifications. In addition, the candidate will coordinate with the graphics team, project manager, and project team to create the elements of the proposal for submission to the client. Must be well organized, detail oriented, high energy, and responsive with excellent writing and proofreading skills. In addition, the candidate will need to support word processing, report formatting, filing, and other office support duties.

  • Assist with the development and production of proposals
  • Assist with the development of presentations
  • Schedule and assist with facilitation of public meetings and outreach
  • Coordinate with marketing, administrative, human resources, graphics, recruiting, and accounting staff from other offices
  • Word process documents and produce reports as needed
  • Assist office staff with administrative needs
  • Schedule and book travel arrangements
  • Schedule and maintain fleet vehicles
  • Organize and plan office functions
  • Schedule and coordinate internal and external meetings
  • Process data and information
  • Distribute incoming mail and prepare outgoing mail and packages
  • Field phone calls, receive, and direct visitors
  • Onboard new staff members
  • Coordinate lunch and learns
  • Reconcile petty cash
  • Order and maintain office supplies
  • Log shop drawings, submittals, RFIs, and change orders
  • Coordinate and manage workflow according to project deadlines
  • Edit specifications and technical documents
  • Set up and maintain project files (electronic and hard copies)
  • Other duties as assigned


Required Qualifications:

  • Bachelor’s degree in marketing, English or other relevant degree required
  • 0-4 Years of relevant experience
  • Ability to work overtime to meet project deadlines
  • Self-motivated, confident, energetic, and creative
  • Ability to meet tight deadlines
  • Attention to detail
  • Excellent organizational skills
  • Ability to prioritize and multi-task
  • Effective time management skills
  • Demonstrated written and oral communication skills

  • Proficiency with Microsoft Office (Word, PowerPoint, Outlook, and Excel), TEAMS, and Adobe InDesign


Preferred Qualifications:

  • Experience with Deltek Vision
  • Experience with proposal coordination
  • Experience working for an architecture, engineering, or construction firm

The expected compensation range for this position is $45,000.00 - $85,000.00. This range represents a good faith estimate for this position. The specific compensation offered to a candidate may vary based on factors including, but not limited to, the candidate’s relevant knowledge, training, skills, work location, and/or experience.
