Purpose of the Position:

The Staff Assistant will provide administrative and operational support to the department, with a primary focus on graduate student support, departmental administrative functions, and general office and facilities coordination.

Key Responsibilities Include

Graduate Student Support
• Assist with graduate registration, form submissions, student records, and general graduate inquiries.
• Maintain an effective recordkeeping system for all graduate students using Google.
• Prepares graduate assistantship offer letters, handles the onboarding/offboarding process, and submits teaching assignments.
• Submits class schedules each semester and schedule adjustment forms.
• Submits book adoptions and tracks and monitors curriculum changes.
Departmental Administrative Support
• Greet and assist students, faculty, staff, visitors, and campus partners while providing a high level of service and professionalism.
• Coordinate departmental events and meetings.
• Monitor the copier for paper, supplies, and maintenance needs.
• Pick up and distribute departmental mail.
• Assist with scheduling and maintaining the Physics department email, Google Calendar, and maintaining the department and OSE website page.
• Provide general administrative support to faculty, staff, and students as assigned.
• Daily management of the Physics department email
Facilities & General Departmental Support
• Submit and track facilities work orders for the Physics department.
• Assist with maintaining the neatness and organization of the student lounge.
• Maintain Physics posted information within the assigned floors of the Optics Building.
• Assist with general departmental needs and other duties as assigned.

Minimum Requirements:

• High school education or equivalent
• 1-3 years of full-time verifiable administrative or clerical work experience
• Proficiency with Microsoft Office Suite
• Excellent communication and interpersonal skills

Desired Qualifications:

• Experience in an academic environment is preferred
• Experience with the Banner student and faculty online system
• Ability to work independently and manage multiple priorities

Published Salary (if available):

36,000 X 70% = $25,200. This is a part-time position.
