About the Opportunity
We are seeking an experienced Senior Billing Operations Specialist to support a growing insurance and employee benefits operation. This position will play a critical role in managing and maintaining a high-volume Benefits Service Fee invoicing process while ensuring accuracy, compliance, and exceptional client service.
The ideal candidate will bring a strong background in benefits administration or insurance operations, hands-on experience working within Applied Epic, and proven expertise creating, tracking, reconciling, and distributing client invoices.
This role will initially focus on process cleanup, reconciliation, and operational support. Once invoicing processes are fully stabilized and current, the workload may transition to a part-time schedule.
Key Responsibilities
- Manage the end-to-end Benefits Service Fee invoicing process for client accounts.
- Create, review, reconcile, and distribute invoices within Applied Epic.
- Maintain accurate billing records and supporting documentation.
- Investigate and resolve billing discrepancies, collaborating with internal stakeholders as needed.
- Ensure invoicing activities align with client agreements, contractual requirements, and internal policies.
- Perform account reconciliations and assist with cleanup of historical billing records.
- Support receivables management and collections activities when necessary.
- Provide documentation and support during audits and compliance reviews.
- Identify opportunities to improve billing processes, controls, and operational efficiency.
- Serve as a subject matter resource for invoicing best practices and billing workflows.
Required Qualifications
- 2+ years of experience in billing, accounting, insurance operations, or related financial functions.
- Experience working within the employee benefits and/or insurance brokerage industry.
- Hands-on experience using Applied Epic.
- Direct experience creating and managing invoices within Applied Epic.
- Strong reconciliation, auditing, and problem-solving skills.
- High attention to detail with the ability to manage multiple priorities and deadlines.
- Proficiency with Microsoft Excel and Microsoft Office applications.
- Strong communication and organizational skills.
Preferred Qualifications
- Bachelor's degree in Business, Finance, Accounting, or a related field.
- Experience supporting complex client accounts and service fee billing arrangements.
- Prior experience identifying and implementing process improvements within billing operations.
