JOB SUMMARY:

This role is responsible for supporting the administration, funding, analysis, and continuous improvement of U.S. health & welfare and retirement benefit programs. The Benefits Sr. Analyst serves as a key resource for retirement contribution funding, benefits operations, complex issue resolution, vendor coordination, and project execution. This position partners closely with HR, Payroll, Finance, vendors, and employees to ensure accurate plan administration, regulatory compliance, and an exceptional employee experience while driving operational excellence across benefits programs.

ESSENTIAL DUTIES & RESPONSIBILITIES:

Retirement Administration & Contribution Funding

  • Manage retirement plan funding activities, including employer and employee contribution calculations, reconciliations, and funding submissions.
  • Coordinate with Payroll, Finance, recordkeepers, and plan vendors to ensure accurate and timely retirement plan contributions.
  • Perform audits and reconciliations of retirement plan data, transactions, and participant records to maintain data integrity.
  • Support administration of defined contribution, pension, savings, and other retirement programs.
  • Assist with retirement plan audits, compliance testing, filings, and documentation requirements.

Health & Welfare Benefits Administration

  • Support day-to-day administration of medical, dental, vision, life insurance, disability, and other health & welfare benefit programs.
  • Ensure accurate enrollment processing, eligibility administration, life event changes, and vendor data transmissions.
  • Monitor benefit transactions and resolve discrepancies impacting employee coverage or plan administration.
  • Partner with internal stakeholders and vendors to ensure effective delivery of benefit programs and services.
  • Support annual enrollment preparation, execution, testing, and issue resolution activities.

ESSENTIAL DUTIES & RESPONSIBILITIES (Continued):

Research, Analysis & Issue Resolution

  • Conduct detailed research, root cause analysis, and issue resolution for complex employee, vendor, payroll, system, operational, compliance, and data-related benefits concerns.
  • Analyze benefits data, trends, and metrics to identify risks, process improvement opportunities, and service enhancements.
  • Prepare reports, recommendations, and presentations for leadership and key stakeholders.
  • Utilize analytical tools and reporting capabilities to support decision-making and program effectiveness.

Project Management & Process Improvement

  • Lead and support benefits-related projects, including system enhancements, vendor implementations, compliance initiatives, and process improvements.
  • Develop project plans, timelines, milestones, and communication strategies to ensure successful execution.
  • Coordinate cross-functional activities with HR, Payroll, Finance, IT, Legal, and external vendors.
  • Identify opportunities to streamline processes, automate manual activities, and improve operational efficiency.
  • Document and maintain standard operating procedures and process controls.

ESSENTIAL DUTIES & RESPONSIBILITIES (Continued):

Compliance & Governance

  • Administer benefit plans in alignment with ERISA, Internal Revenue Code, HIPAA, COBRA, ACA, and other applicable regulatory requirements.
  • Coordinate audits, required notices, plan documentation updates, and related compliance activities.
  • Maintain accurate benefit records, procedures, and supporting materials to strengthen governance and controls.
  • Partner with internal teams, vendors, and advisors to address regulatory requirements and governance priorities.

Employee & Stakeholder Support

  • Serve as a subject matter resource for benefits programs, policies, and procedures.
  • Provide guidance and support to employees, managers, HR Business Partners, and other stakeholders regarding benefit programs and processes.
  • Assist with employee communications and educational materials related to benefits programs and changes.
  • Support escalated benefits inquiries and ensure timely, accurate resolution.

Vendor Management & Operational Support

  • Serve as a primary point of contact for designated benefit vendors, consultants, and service providers.
  • Monitor vendor performance, service delivery, and issue resolution to ensure quality outcomes.
  • Research and resolve vendor-related discrepancies, escalations, and service concerns.
  • Review benefit administration processes and recommend improvements to strengthen controls and service levels.
  • Support invoice reviews, funding validations, and vendor data accuracy.

QUALIFICATIONS:

  • Bachelor's degree or equivalent experience with 6+ years of benefits administration experience, including health & welfare and retirement programs.
  • Experience supporting retirement contribution funding, reconciliations, and vendor administration.
  • Strong analytical and problem-solving skills with the ability to research and resolve complex issues.
  • Demonstrated project management experience, including managing multiple priorities and cross-functional initiatives.
  • Knowledge of benefits regulations and compliance requirements.
  • Experience working with HRIS, payroll systems, and benefits administration platforms.
  • Advanced Excel, reporting, and data analysis capabilities.
  • Strong communication, organizational, and stakeholder management skills.

PREFERRED EXPERIENCE:

  • Experience in a large, complex, or unionized organization.
  • Experience supporting annual enrollment and benefits system implementations.
  • Knowledge of retirement plan audits, compliance testing, and funding processes.
  • Experience partnering with Finance and Payroll on benefits-related reconciliations and reporting.
  • Experience driving process improvement and operational excellence initiatives.
