    Description

    Key Responsibilities

    • Provide administrative support to the Sales, Event, and Catering Managers Answer phone calls, emails, and customer inquiries professionally
    • Prepare quotations, contracts, proposals, banquet event orders (BEOs), and sales reports Maintain client databases and filing systems
    • Schedule appointments, meetings, site inspections, and event walkthroughs
    • Coordinate with hotel departments regarding group bookings, catering requirements, and event logistics
    • Assist Event and Catering Managers with planning and coordinating special events, banquets, conferences, weddings, and corporate functions
    • Communicate event details with clients and internal departments to ensure successful event execution
    • Assist in preparing event schedules, function sheets, and related documents Monitor event timelines and support day-of-event coordination when needed Assist in preparing marketing materials and presentations
    • Follow up with clients regarding conformations, payments, contracts, and feedback Handle correspondence and distribute internal communications
    • Enter and update sales and catering data in hotel management systems Maintain organized records and office supplies

    Qualifications

    • High school diploma or equivalent; diploma or degree in hospitality, business administration, marketing, or related field preferred
    • Previous hotel, catering, sales, or event coordination experience preferred Strong communication and interpersonal skills
    • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) Excellent organizational and multitasking abilities
    • Attention to detail and accuracy
    • Professional appearance and customer service attitude Ability to work under pressure and meet deadlines

    Preferred Skills

    • Knowledge of hotel reservation and catering management systems
    • Understanding of sales, banquet, and event coordination processes
    • Strong customer service and problem-solving skills
    • Time management and administrative skills

    Working Conditions

    • Office-based within the hotel property with occasional event-floor responsibilities
    • May require flexible hours, including evenings, weekends, and holidays during events
    • Frequent interaction with guests, corporate clients, vendors, and event organizers
