This individual will also maintain and update the Delphi.FDC OnQ and Rate & Inventory R&I systems and communicate related information to colleagues. The administrative requirements of this position will not be limited to assisting with administrative needs training client relations and general office projects under the direction of Director of Sales & Marketing.The Sales & Catering Events Coordinator will report directly to the Director of Sales & Marketing and Sales & Catering Director and Managers.Prepare files and documents for periodic meetings chaired or attended by the Sales TeamPrepare and distribute weekly BEO Resume Packets and Daily ReportingEnsure all incoming Leads are logged into Delphi.FDCFacilitate Group turn-over process for definite group bookingsBuild and maintain group bookings in Rate & Inventory system as neededBuild and Manage all booked groups in OnQ Front Office as neededEnter and modify individual reservations and group rooming lists in OnQ Front OfficeEnsure banquet checks are received dailyEnsure banquet checks are accurate in Delphi.FDCProcessing necessary accounting forms including Group Commissions and Deposits including maintaining FastPay system for accuracyComplete Amenity forms and coordinate delivery with IRDComplete expense reportsManage department POs in Smart Spend system and manage PO processes and proceduresHandle communication with clients on behalf of sales personnelTrack monthly account production as directed by the Director of Sales and MarketingAttend Weekly Ops Group Pickup GRC Review & Resume MeetingsAttend BEO MeetingsHandle all necessary third-partyrentals for groupsEnsure departmental processes and procedures are followed as outlined in the Sales GuidelinesAssume Delphi.FDC administrator roleAssist with clients entertainingAssist with site inspectionsAnswer telephone calls and handle enquiries professionallyFile correspondence and documentsAssist Sales Catering and Marketing Teams with Sales & Marketing projectsPerform any other reasonable duties as required by the DOSM Director of Revenue Management Catering and Events Director and Managers Group Sales Managers and Marketing Manager.What are we looking forSince being founded in 1919 Hilton has been a leader in the hospitality industry.
