    Position Description

     

    POSITION: ROOMS OPERATIONS COORDINATOR

     

    DEPARTMENT: ROOMS DIVISON

     

    REPORTS TO: ROOMS DIVISON MANAGER

     

    The Rooms Operations Coordinator supports the daily operations of the Rooms Division by coordinating Front Office, Housekeeping, group arrivals, VIP experiences, room routing, billing arrangements, and special reservations. The position serves as a liaison between operational departments to ensure exceptional guest service, efficient room readiness, and successful execution of group and VIP programs.

     

    SKILLS/QUALIFICATIONS:

    Must be literate and able to communicate in English.

    Must possess a high school diploma or GED. College or technical training preferred.

    Must have a minimum of six months’ experience in hotel front office operations.

    Excellent customer service skills and telephone etiquette.

    Must possess basic computer skills to include Word, Excel, Internet and e-mail.

    Must have experience with money handling procedures.

    MAJOR JOB DUTIES:

     

    Duties include, but are not limited, to the following:

    · Group Coordination

    · Review group resumes and ensure routing is completed before groups arrival.

    · Coordinate room routing, billing instructions, and special group requirements.

    · Maintain rooming lists and reservation updates.

    · Communicate group information to rooms operational departments.

    · VIP and Guest Experience

    · Create and manage VIP reservations and profiles.

    · Coordinate amenities, room assignments, and special arrivals.

    · Ensure recognition of loyalty members, repeat guests, and special occasions.

    · Reservations Administration

    · Create and manage complimentary room and gift certificate reservations.

    · Verify reservation accuracy, rates, room types, and billing arrangements.

    · Front Office Support

    · Assist front desk operations as needed.

    · Resolve guest concerns and escalate issues appropriately.

    · Support occupancy and room readiness communication.

    · Be aware of guest satisfaction scores and work toward increasing departmental and overall guest satisfaction.

    · Housekeeping Support

    · Coordinate communication between Front Office and Housekeeping regarding room status updates.

    · Assist with monitoring room readiness for arrivals, VIPs, and group check-ins.

    · Support prioritization of rooms based on operational needs.

    · Coordinate VIP room inspections and special setup requests.

    · Communicate group arrivals, departures, and special housekeeping requirements.

    · Track and communicate out-of-order and out-of-service room status.

    · Knowledgeable of all emergency procedures and policies

    · Practice safe work habits, wear protective safety equipment and follow SDS and OSHA standards.

    · Ensure overall guest satisfaction.

    · Perform other duties as requested by management.

     

     

     

     

    PHYSICAL REQUIREMENTS:

     

    While performing the duties of this Job, the employee is regularly required to walk and talk or hear. The employee is occasionally required to stand; sit; use hands to finger, handle, or feel; reach with hands and arms; stoop, kneel, crouch, or crawl and taste or smell.

    The employee must frequently lift and/or move up to 25 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

     

    While performing the duties of this Job, the employee is frequently exposed to outside weather conditions. The employee is occasionally exposed to wet and/or humid conditions; moving mechanical parts; high, precarious places; fumes or airborne particles; toxic or caustic chemicals; extreme cold; extreme heat and risk of electrical shock. The noise level in the work environment is usually moderate.

     

     

    EQUIPMENT USED: Tables, chairs, linen, bars, flatware, silverware, glassware, burners, heat lamps, chaffing dishes props and signage for buffet tables
