Description

The Department of Neurosurgery is seeking a full-time Research Administrator II to provide independent, comprehensive pre- and post-award administration for an assigned portfolio of Principal Investigators and sponsored research projects. As one of three research administrators supporting the Department’s growing research portfolio, this position serves as a key financial and administrative partner to faculty and department leadership. The Research Administrator II leads proposal development and submission, monitors sponsored project financial activity and expenditures, supports budget development, management, and forecasting, and ensures compliance with University, sponsor, and regulatory requirements throughout the full award lifecycle.The Lillian S. Our clinical care mission also extends throughout North Central Florida through regional neurosurgery programs. We offer the full spectrum of neurosurgical and neuro-oncology treatment options for both adults and pediatric patients. Our research labs and investigator-led initiatives and clinical trials are developing promising new treatments for neurological diseases that are extremely difficult to treat with conventional therapies. The Department of Neurosurgery offers education and training programs such as ACGME-accredited neurosurgery residency programs and fellowship programs.

Job Description:

Post-Award Administration

  • Analyzes expenses, develops cost projections and provides financial tracking and fiscal control to fulfill reporting requirements.
  • Responsible for monitoring and maintaining activities for all projects including completing modifications, release and transfer of funds within the Ufirst system.
  • Ensures expenditures and payments are expensed appropriately with the correct project and in accordance with agency and award stipulations and move to correct award if necessary.
  • Reconcile reports on a monthly basis and as needed.
  • Meet with Principal Investigators quarterly to review reconciliation reports, expenditures, and projections.
  • Coordinate payroll distributions regarding administrative staff as per the budget and/or PI request.
  • Keeps department master project list up to date.
  • Produce monthly and ad-hoc reports as requested by PI
  • Ensure that the PI and all research staff have completed all necessary training for specified protocol.
  • Upload protocol/IRB approval to appropriate award in UFIRST.
  • May assist in fiscal payment processing—Pcards, MyUF Payment Solutions, MyUF Market.
  • Forecasts salary expenditures through the end of the budget period.
  • Responsible for effort reporting requirements on projects, including required cost sharing.
  • Reviews subcontract certifications sent from Contract and Grants (C&G) and obtains signatures.
  • Participates in the negotiation with grant and contracting officers to substantiate budget requests and to secure terms and conditions, which are consistent with policy.
  • Confer with investigators and campus administrators to ensure that changes or corrections are made as needed.

 Pre-Award Administration

  • Provide pre-award support which includes reviewing requests for proposal (REP) and identifying the specific requirements and policies are met while ensuring the policies are within or consistent with those of UF.
  • Work with PI to prepare an accurate budget for the corresponding proposal.
  • Submit proposal submissions, including new research grant proposals, renewing and/or continuing grants and contracts.
  • Provides technical assistance to PI’s in the development of proposals and submissions.
  • Reviews subcontract certifications sent from Contracts and Grants (C&G) and obtains signatures.
  • Performs editorial review of language, grammar, punctuation and contract terms for all proposals.
  • Reviews contracts to determine whether the activities should be sent through the Division of Sponsored Research (DSR), Purchasing or the Health Science Center (HSC) Contracts Office and ensures that contracts are in place before services are performed.

Required Qualifications:Bachelor's degree and two years of experience in grant and contract administration; or an equivalent combination of education and experience.
