Status: Full-Time, Non-Exempt

Compensation: $44,535 per year (Based On a 35Hr week) 

Schedule: Tuesday–Saturday; Tuesday 12:00 PM–8:00 PM, Wednesday–Saturday 9:00 AM–5:00 PM

Location: In-Person, Brooklyn, NY

Reports to: Director of Operations & Organizational Effectiveness

We work alongside Spanish-speaking immigrants, regardless of status, offering free and culturally grounded programming that meets real health, educational, and immigration needs for families across Brooklyn and the broader NYC area.

POSITION SUMMARY

The Reception & Office Assistant is often the first person visitors and community members meet at Mixteca and plays an important role in creating a warm, welcoming, and organized experience. This role manages the front desk, responds to calls and messages, and helps connect people with the appropriate staff or resources. The Reception & Office Assistant also provides basic administrative and office support, including helping with office organization, routine follow-up, and maintaining basic records and inventories. This role works closely with the Director of Operations & Organizational Effectiveness to support the day-to-day functioning of the office.

KEY RESPONSIBILITIES

Reception & Visitor Management

  • Greet and welcome walk-ins, visitors, and community members with warmth and patience.

  • Manage sign-in procedures and maintain accurate visitor logs.

  • Help visitors and community members navigate Mixteca’s office and connect with the appropriate staff member or department.

  • Maintain a welcoming, organized, and culturally responsive front desk experience.

Phones, Email & Mail

  • Answer incoming phone calls and office cell phone messages and route inquiries to the appropriate staff member or department.

  • Monitor Mixteca’s general email account and forward messages to the appropriate staff member or department.

  • Sort and distribute incoming mail and notify staff when mail or packages arrive.

  • Respond to routine reception-related inquiries and assist with other routine correspondence as needed.

  • Help maintain clean, organized, and welcoming shared office spaces, supplies, and common areas.

  • Assist with office organization, clean-up, and space-clearing efforts.

  • Maintain basic inventories and administrative logs, including keys, office supplies, and equipment.

  • Assist with periodic inventory and organization of office and technology equipment.

  • Complete routine administrative tasks and staff follow-ups as directed.

  • Communicate routine office needs, missing or damaged items, or other concerns to the Director of Operations & Organizational Effectiveness.

  • Help ensure signage, posted materials, and other shared information are current and in good condition.

Meeting & Event Support

  • Assist with basic logistics for internal meetings and organizational events, including room setup, signage, supplies, and cleanup.

  • Help prepare and organize shared spaces before and after meetings and events.

  • Support routine administrative follow-up related to meetings and events as needed.

QUALIFICATIONS

  • Warm, patient, and welcoming approach when interacting with community members, visitors, and staff.

  • Cultural humility and comfort working with a diverse immigrant community.

  • Must be Bilingual in English and Spanish.

  • Strong listening and communication skills.

  • Ability to manage routine tasks and follow through on assignments.

  • Comfortable with administrative tasks such as data entry, filing, maintaining logs, organizing information, and following up with others.

  • Comfortable learning and using basic office technology and systems, including email, Google Workspace, Salesforce, Asana, and other tools used by Mixteca.

  • Willingness to learn new systems, ask questions, and take initiative within the scope of the role.

  • Maintain confidentiality and discretion when handling visitor, community member, staff, and organizational information.

Overtime Eligibility: This is a non-exempt position. Hours worked beyond 40 in a workweek are compensated in accordance with Mixteca's overtime policy and applicable wage-and-hour law.
