Summary:

As a Project Support Specialist II the candidate shall provide programmatic and resource management services for PRB. The assignment of each task or assignment and its delivery schedule will be established by the Program and may be subject to change or modification depending on organizational needs and priorities.

Responsibilities:

Essential Job Functions:

  • Provide technical assistance and guidance on personnel actions, including initiating new and renewal packages for Fellowship Programs.
  • Responsible for ensuring packages are complete and all documentation is included for approval.
  • Meeting coordination, including room scheduling, visitor coordination, and meeting notes
  • Responsible for the submission of purchase requests into the Credit Card Purchase
  • System (CCPS) that include equipment, supplies, registration fees, and other office purchase needs.
  • Coordinate and submit branch requests and expenditures; Assist staff with domestic and international arrangements & technical issues in CONCUR.
  • Provide consultation to CDC staff to help process and track FOIA requests.
  • Serve as Program Timekeeper. Responsible for ensuring the accuracy of time and attendance records.
  • Must ensure that the time records are processed, approved, and ready for transmission in a timely manner.
  • Copier maintenance requests and tracking
  • Coordination of new equipment requests and excess equipment requests
  • Responsible for accurately entering and managing data in CDC Administrative
  • Systems (TASNET, Concur, CAMS, VSTS, ICE, ITR, CCPS, PMIS, MUST, GRANT SOLUTIONS, UTAMS)
Qualifications:

Necessary Skills and Knowledge:

  • Working knowledge of Federal administrative, program support, and resource management processes.
  • Knowledge of personnel and fellowship action processes, including preparation, review, coordination, and tracking of new and renewal packages.
  • Ability to review administrative packages for completeness, accuracy, and required documentation.
  • Knowledge of meeting and logistical support, including scheduling, visitor coordination, meeting preparation, and documentation of notes and action items.
  • Working knowledge of Federal purchasing, travel, timekeeping, equipment, and expenditure processes.
  • Familiarity with FOIA processing and tracking requirements.
  • Experience entering, maintaining, and tracking data in Government administrative and program management systems.
  • High level of proficiency with TASNET, Concur, CAMS, VSTS, ICE, ITR, CCPS, PMIS, MUST, Grant Solutions, and UTAMS.
  • Proficiency with Microsoft Office applications, including Outlook, Word, Excel, and Teams.
  • Strong organizational, time-management, and data-tracking skills with the ability to manage multiple priorities and deadlines.
  • Strong attention to detail and ability to identify missing, inaccurate, or inconsistent information.
  • Ability to work independently with limited supervision, follow established procedures, and appropriately escalate issues when necessary.
  • Strong written and verbal communication skills and the ability to provide responsive customer service to staff, management, and other stakeholders.
  • Ability to adapt to changing priorities, systems, and organizational requirements in a fast-paced environment.

Minimum Qualifications:

  • Associates or bachelor’s in business administration, finance, accounting, public administration, records management, procurement, logistics, or a related field or equivalent experience or equivalent experience.
  • 3-5 years of relevant experience
  • Ability to obtain and maintain CDC Public Trust Clearance.

Preferred Qualifications:

  • Bachelor’s degree in business administration, Public Administration, Management, Human Resources, Finance, or a related field.
  • Three (3) to five (5) years of progressively responsible administrative, program support, resource management, or project support experience.
  • Experience supporting a Federal Government program, branch, division, or comparable organization.
  • Experience with Federal personnel or fellowship actions, purchasing, travel, timekeeping, FOIA coordination, or equipment management.
  • Prior experience using Government administrative systems such as TASNET, Concur, CAMS, VSTS, ICE, ITR, CCPS, PMIS, MUST, GrantSolutions, or UTAMS.
  • Intermediate Microsoft Excel skills, including formulas, lookups, pivot tables, filtering, and development of tracking tools.
  • Experience preparing recurring reports, status updates, trackers, or management summaries.
  • Demonstrated ability to independently coordinate multiple administrative functions and ensure actions are completed within established deadlines.
  • Prior experience with CDC.
