    Description

    The Research Administrator provides comprehensive support for the administration of research activities, including pre-award, post-award, and compliance processes. This role ensures adherence to institutional, sponsor, and regulatory policies while supporting faculty, staff, and investigators in the pursuit and management of external funding. This person must have good time management, communication, and organizational skills, as well as a strong ability to think critically. A high level of technical computer skills is also required. This position is supervised directly by Department Chairman, and indirectly by the Business Manager. Regular attendance is required to perform the functions of this position. Incumbent will maintain a customer-oriented awareness in acknowledging and responding to needs as they occur that customer satisfaction is met at all times. Essential Position Functions & Duties 20% - Pre-Award Administration Assist principal investigators (PIs) in the development of budget templates for new proposals and continuation awards. Review sponsor guidelines and ensure budget alignment with institutional and funding agency requirements. Collaborate with the Office of Sponsored Programs to confirm accuracy and compliance of budgetary components. Maintain internal tracking of proposal submissions and deadlines. Provide support documentation required for routing and approval processes. 20% - Post-Award Administration and Account Management Facilitate award setup by reviewing budget details and assisting with account creation. Monitor and maintain project account balances to ensure alignment with sponsor-approved budgets. Conduct monthly reconciliations and proactively communicate financial status to PIs. Process cost transfers, purchase requisitions, payroll distributions, and other financial transactions. Assist with the preparation of interim and final financial reports and time and effort reporting. Track timelines and coordinate closely with Sponsored Programs and PIs for award compliance and reporting. 25% -Clinical and Translational Research Support Provide administrative support and coordinate submissions to different research administrative bodies, internally and externally, including but not limited to CTO, IRB, OSP, Contracting etc.. Assist faculty, trainees (Residents/Fellows), in compiling, reviewing and submitting protocols and submissions to research administrative bodies. Keep communication channels with research administrative bodies, both internally and externally. Track and communicate enrollment in studies including with using Redcap 20% - Administrative Functions Processes and assists in coordinating travel for faculty candidates, including but not limited to: submitting prior approval requests, scheduling flights, compiling itineraries and submitting reimbursement requests. Works closely with the Chair and/or designated faculty on administrative tasks related to educational activities for the department including but not limited to Grand Rounds and Symposiums hosted by the Department. 10% - Compliance and Faculty Support Ensure compliance with federal, state, sponsor, and institutional regulations, including Uniform Guidance (2 CFR 200). Serve as a departmental resource for research administration policies, systems, and tools. Support audit preparation and manage related documentation. Provide training and onboarding support to faculty and research staff on financial and administrative processes. Non-Essential Position Functions & Duties 5% Marginal Functions (5%) Performs other related duties and responsibilities as assigned. Participate in meetings, professional development activities, and process improvement initiatives. Provides coverage for co-workers during temporary leaves of absence.
