    Role Description
    Rossi Builders is seeking a full-time, on-site Project Coordinator in the San Francisco Bay 
    Area. The Project Coordinator is the operational hub for the project team. You’ll support 
    Project Managers, Superintendents, Estimators, and Accounting by driving document 
    control, procurement administration, schedule & meeting logistics, compliance tracking, 
    and closeout deliverables. Your work ensures our projects move efficiently from 
    preconstruction through closeout with accurate records, timely submittals/RFIs, and 
    well-organized communication across owners, designers, and subcontractors. This role 
    combines operational support with contract administration and professional judgment, 
    ensuring projects adhere to our requirements.

    Position Summary & Primary Responsibilities
    • Prepares and maintains start-up packages, submittal binders, project
    documentation including but not limited to: Requests for Information (RFIs), 
    submittal logs, insurance documentation, and bid invitations.
    • Evaluate subcontractor and vendor qualifications and recommend approval or 
    corrective actions based on contract terms and company policy.
    • Draft and review contracts, master service agreements (MSAs), and work 
    authorizations in alignment with company standards and client requirements.
    • Issue work authorizations and commitments within delegated authority, verifying 
    costs and project schedule to client contract.
    • Maintain accurate records of client and subcontractor agreements and change 
    orders; ensure timely routing and approvals. Prepare meeting agendas, capture 
    decisions, and distribute actionable summaries to stakeholders.
    • Coordinates material requisitions, delivery of project documents, and expedites 
    items as needed to meet project schedules.
    • Oversight of document control in Procore and Sage 300, ensuring data accuracy and 
    timely updates.
    • Prepares proposal booklets, start-up packages, punch lists, and closeout 
    documents.
    • Provides estimating support by soliciting subcontractor/vendor quotes and assisting 
    with changing addendum pricing. 
    • Organizes project archives and ensures accurate recordkeeping. 
    • Apply SOPs while exercising independent judgment to resolve ambiguities and 
    recommend solutions to PMs and leadership.
    • Support monthly billing packages, lien releases, and insurance compliance 
    documentation.
    • Collaborate with Accounting on vendor setup and invoice reconciliation.
    • Assemble O&M manuals, warranties, and final as-built documentation; ensure 
    contractual closeout deliverables are met.
    • Archive project records per company SOP for audit readiness. Other duties as 
    assigned. 

    Basic Qualifications
    • 3–5+ years in commercial construction administration, contract management, or 
    equivalent coordination experience in similar industries. 
    • AA/BA in Construction Management, Business, or related field preferred.
    • Strong analytical ability, attention to detail, and capacity to exercise discretion on 
    matters of significance.
    • Office-based unless certain projects may require working from a jobsite to meet 
    client needs. 
    • Valid driver’s license and the ability to report to the office daily
    Preferred Qualifications
    • Proficiency with Sage 300, Procore, Bluebeam, and MS Office; ability to interpret 
    drawings/specs and contract language. Experience preparing and reviewing start-up 
    and close-out documentation.
    • Strong organizational skills with attention to detail.
    • Demonstrated ability to collaborate with diverse project teams and subcontractors.
