    Description

    Project Coordinator 
    Compensation: DOE 
     
    PRINCIPAL RESPONSIBILITIES:
    • Portfolio Coordination & Support
      • Support the Portfolio Manager in day-to-day portfolio operations across multiple initiatives
      • Coordinate timelines, deliverables, and dependencies across projects to maintain alignment with portfolio goals
    • Financial & Resource Tracking
      • Assist in tracking portfolio budgets, forecasts, and actuals
      • Support resource allocation tracking across projects and flag capacity or funding risks
    • Data Management & Governance
      • Maintain accuracy of portfolio data in tracking tools (e.g., SharePoint, Smartsheet)
      • Ensure consistent use of templates, standards, and reporting structures across all projects
    • Risk, Issue, and Dependency Tracking
      • Track and maintain portfolio-level risks, issues, and dependencies
      • Escalate concerns to the Portfolio Manager and ensure visibility across stakeholders
    • Meeting & Communication Support
      • Coordinate portfolio governance meetings, agendas, and follow-ups
      • Capture notes, action items, and ensure timely execution of next steps
    • Cross-Team Coordination
      • Facilitate communication between project managers, business stakeholders, and technical teams
      • Help ensure alignment and transparency across all active initiatives
    • Process & Tooling Support
      • Support continuous improvement of PMO processes, templates, and tools
      • Assist with adoption of portfolio management practices and standards across the team
    • Copilot Use Case Development
      • Partner with the Portfolio Manager to identify and document high-value PMO Copilot use cases (e.g., status reporting, summaries, risk tracking)
      • Translate PMO processes into structured prompts and repeatable Copilot workflows
    • Agent Library Support
      • Assist in organizing, documenting, and maintaining PMO-related AI agents (e.g., reporting assistant, RAID tracker, meeting summarizer)
      • Ensure agents are aligned with PMO standards, governance, and data sources


    MINIMUM QUALIFICATIONS:
    • Bachelor's degree in Business Administration, Project Management, or related field
    • 5+ years of experience in project coordination or management
    • Proven track record of successfully working on multiple projects simultaneously
    • Strong knowledge of project management methodologies and best practices
    • Proficiency in project management software (e.g., Smartsheet)
    • Excellent organizational and time management skills
    • Strong communication and interpersonal skills
    • Ability to work effectively in a team environment
    • Problem-solving and critical thinking skills
    • Adaptability and flexibility in a fast-paced environment 

     

    PREFERRED QUALIFICATIONS:
    • Knowledge of Waterfall, Hybrid, and Agile methodologies
    • Familiarity with budgeting and cost control
    • Familiarity with Microsoft Copilot
    • High level of interest in new technologies
    • Exposure to Power BI
