Job Title: Project CoordinatorJob Description

The Project Coordinator provides essential administrative and operational support to Project Managers, Construction Managers, and Project Engineers within a construction environment. This full-time role is based in a corporate office in Kansas City and focuses on managing project documentation, supporting project accounting, coordinating communication across multiple markets, and helping ensure projects are delivered efficiently, accurately, and in a client-focused manner.

Responsibilities

  • Manage project documentation controls, including subcontracts, change orders, purchase orders, and submittals, to ensure accurate and timely recordkeeping.
  • Provide project accounting support by processing subcontractor pay applications and vendor invoices, finalizing client billings, and researching and resolving payment inquiries.
  • Coordinate communication across multiple markets, including ESCO, Infrastructure, and Engineering, to keep stakeholders informed and aligned.
  • Maintain and regularly update digital drawings, standard operating procedures (SOPs), and vendor compliance records to support operational excellence and audit readiness.
  • Prepare substantial completion documents and assemble final project closeout packages for clients, ensuring all required materials are complete and accurate.
  • Attend project meetings as requested and assist the project team with documentation, follow-up actions, and other project requirements.
  • Develop, track, and process prevailing wage documentation, including certified payroll and project exemption certificates, in accordance with project requirements.
  • Effectively and accurately communicate relevant project information to the project team and stakeholders to support informed decision-making.
  • Ensure client needs are met in a timely and cost-effective manner by proactively monitoring project requirements and responding to inquiries.
  • Proactively suggest process improvements and contribute to a collaborative, solutions-oriented work environment.
  • Organize and refine procedures to maintain office efficiency and ensure the quality and consistency of project documents.
  • Perform other related duties as assigned to support successful project delivery.

Essential Skills

  • At least 1 year of experience as a Project Coordinator in a construction environment.
  • Hands-on experience with project coordination and project administration in construction.
  • Proficiency in Microsoft Office, including strong skills in Microsoft Excel.
  • Proficiency in BlueBeam for handling construction documents and drawings.
  • Ability to manage subcontracts, change orders, purchase orders, submittals, and vendor invoices.
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
  • Effective team player with excellent interpersonal, verbal, and written communication skills.
  • Strong analytical and problem-solving abilities with high attention to detail.
  • Ability to work across functions and collaborate with diverse project stakeholders to achieve project objectives.

Additional Skills & Qualifications

  • Experience working with construction management teams and supporting Project Managers, Construction Managers, and Project Engineers.
  • Familiarity with construction documentation processes, including digital drawings and standard operating procedures (SOPs).
  • Experience handling project accounting tasks such as subcontractor pay applications, vendor invoices, and client billings.
  • Ability to develop, track, and process prevailing wage documentation, including certified payroll and exemption certificates.
  • Demonstrated ability to suggest and implement process improvements in a project or office setting.
  • Strong attention to accuracy and completeness in all documentation and recordkeeping activities.

Work Environment

This role operates in a corporate office environment located in Kansas City, supporting construction projects across multiple markets such as ESCO, Infrastructure, and Engineering. The position is full-time and involves extensive work with digital tools, including Microsoft Office, Microsoft Excel, BlueBeam, and various construction document management systems. Work is primarily computer-based and detail-oriented, requiring regular collaboration with project managers, construction managers, project engineers, and other team members. Job Type & Location

This is a Contract to Hire position based out of Kansas City, MO.

Pay and Benefits

The pay range for this position is $25.00 - $31.00/hr.
