ABOUT THIS OPPORTUNITY

Okland is seeking a motivated and detail-oriented administrative professional who thrives in a fast-paced construction environment and enjoys supporting project teams through coordination, communication, and document management. The Project Assistant plays a key role in keeping project operations organized while gaining exposure to construction processes, field operations, and project management fundamentals. This role is designed as a developmental steppingstone along the Project Engineer to Project Manager career path, making it an excellent opportunity for someone who is proactive, eager to learn, and interested in building a long-term career in construction operations.

YOUR DAY-TO-DAY

Project Coordination 

  • Serve as the primary point of contact for project office communications, ensuring timely and professional support for employees, subcontractors, owners, and visitors.
  • Coordinate project meetings, conference room scheduling, team events, onboarding activities, and site logistics for new team members.
  • Prepare, distribute, and maintain meeting minutes for OAC, subcontractor coordination, and internal project meetings.

Document Control & Reporting 

  • Maintain project documentation, digital plan sets, RFIs, specifications, drawings, inspections, and field reports within Autodesk Construction Cloud (ACC), Autodesk Build, and Bluebeam.
  • Manage document version control by retrieving, filing, posting, and hyperlinking updated project information from FTP sites and other project platforms.
  • Support project reporting through data entry, timecard processing, project photo documentation, weekly progress reporting, and tracking completion of field-related action items.

Office Operations 

  • Keep project office operations running smoothly by managing supplies, filing systems, records, correspondence, and administrative support for the project team.
  • Coordinate project lunches, vendor visits, and other day-to-day office activities while maintaining a professional and welcoming environment.
  • Regularly walk active construction sites to assist with project documentation, progress tracking, and field support activities.

YOU’RE READY FOR THIS ROLE IF YOU HAVE

  • High school diploma or equivalent required; associate's degree, coursework, or certifications in business, construction, or a related field are a plus.
  • 2+ years of administrative, project coordination, or office support experience, preferably within the construction, engineering, or related industries.
  • Experience supporting project management teams in a fast-paced environment while managing multiple priorities and maintaining a high level of organization and accuracy.
  • Proficiency in Microsoft Office Suite, particularly Word and Excel, with experience performing data entry, preparing reports, and maintaining project records.
  • Strong communication, problem-solving, and organizational skills, with the ability to work independently, maintain confidentiality, and collaborate effectively with field and office teams.
  • Experience with construction technology platforms such as Autodesk Construction Cloud (ACC), Autodesk Build, Bluebeam, or similar document management systems is preferred.
  • Ability to periodically walk active construction sites, support project documentation efforts, and work occasional overtime to meet project demands.
