Pay Range: $24/hr - $25/hour.  Employee benefits include, but are not limited to, health insurance (medical, dental, vision), 401(k) plan, and paid sick leave (depending on work location).

Key Responsibilities:

  • Executive & Leadership Administrative Support
  • Provide high-level administrative support to the Global Practice Manager and Leadership Team to ensure continuity of daily global practice and regional office functions and operations.
  • Facilitate smooth communication between the Global Practice Manager, leadership, internal teams, and internal and external clients.
  • Interact professionally with leadership members, company executives, client executives, government officials, media, and internal employees as needed.
  • Assist leadership with calendar management, expense reports, travel arrangements, meeting coordination, and signature routing.
  • Handle sensitive and confidential information while maintaining a high level of discretion.
  • Project & Administrative Support
  • Provide general administrative support for company projects and assist with administrative project execution as needed.
  • Gather, compile, verify, and analyze information to prepare memos, letters, emails, reports, presentations, and other business documents.
  • Organize and maintain project files, filing systems, records, and project communications.
  • Perform data entry and other clerical activities to support project requirements.
  • Assist with updating record copies, engineering project documentation, and project changes.
  • Maintain the security and confidentiality of calendars, files, records, and other sensitive information.
  • Communication & Document Management
  • Screen, field, prioritize, and manage inbound communications through telephone, mail, and email, resolving critical issues in a timely manner.
  • Prepare professional communications, including emails, meeting agendas, and meeting minutes.
  • Facilitate document approvals and processing, including invoices, contracts, and other confidential documents.
  • Prepare outgoing mailings, labels, emails, and fax communications as required.
  • Meeting & Event Coordination
  • Reserve conference rooms and coordinate client, vendor, and supplier presentations, meetings, and interviews, including setup and cleanup.
  • Manage logistics for large group meetings, events, and leadership activities.
  • Oversee catering and conference room arrangements for division meetings and events.
  • Arrange conference calls and coordinate conference room setup.
  • Coordinate with IT to ensure audio/visual equipment is available and functioning properly for meetings and presentations.
  • Evaluate bids and negotiate contracts of significant value for meeting and celebration venues.
  • Financial & Operational Support
  • Monitor, review, and approve standard expenditures to ensure departmental activities remain within established budgets.
  • Assist leadership with expense reporting, invoices, contracts, and other financial or administrative documentation.
  • Support the smooth operation of the department by coordinating administrative activities, tracking requirements, and following up on outstanding items.

Key Requirements and Technology Experience: 

  • High School Diploma/GED required.
  • Minimum 8 years of relevant experience.
  • Ability to work independently while demonstrating accuracy, reliability, organization, and strong problem-solving skills.
  • Proficiency in Microsoft Word, Excel, Access, and PowerPoint.
  • Excellent organizational skills, attention to detail, verbal and written communication skills, and ability to manage multiple tasks simultaneously.
  • Demonstrated ability to communicate professionally and effectively with all levels within an organization.
  • Ability to handle sensitive and confidential information with discretion.
