Project Assistant

Position Summary
Our client is seeking a Project Assistant to provide administrative and project support for engineering and construction projects in Akron, OH. This position will work closely with Project Managers and project teams to organize project information, maintain documentation, coordinate meetings, track project status, and provide general administrative support.
The ideal candidate is highly organized, detail-oriented, dependable, and comfortable working in a fast-paced project environment.
Responsibilities
- Provide general administrative support for engineering and construction projects.
- Assist Project Managers and project teams with administrative and clerical needs.
- Organize and maintain project files, filing systems, and project communications.
- Perform data entry and maintain accurate project information.
- Track project status and prepare monthly progress reports.
- Maintain project tracking systems and update project information as needed.
- Update record copies, engineering documentation, project records, and changes.
- Research project information and provide documentation to facilitate responses to project-related questions.
- Record and distribute meeting minutes, including Real Estate Meetings.
- Answer phones, respond to inquiries, and direct calls to the appropriate personnel.
- Sort and distribute incoming mail.
- Collect and distribute client bills and invoices.
- Process purchase orders for vendors.
- Prepare and type memos, correspondence, reports, spreadsheets, and other documents as requested.
- Coordinate travel arrangements and other internal services required to support project activities.
- Prepare outgoing mailings, labels, emails, and faxes.
- Reserve conference rooms and coordinate client, vendor, and supplier presentations, meetings, and interviews, including meeting setup and cleanup.
- Schedule and coordinate client interviews, presentations, and other meetings.
- Order and maintain office and project supplies.
- Update project calendars, contact lists, and project rosters.
- Maintain accurate project contact information and project execution plans.
- Assist with various clerical and administrative requirements associated with projects.
- Maintain accurate and timely project records and documentation.
- Perform other duties as assigned.
- Comply with company policies, procedures, and applicable standards.
Qualifications
- High School Diploma or GED required.
- Minimum of 3 years of relevant administrative, office, or project support experience.
- Previous office or clerical experience preferred.
- Experience supporting engineering, construction, or other project-based environments is a plus.
- Strong organizational and time-management skills.
- Excellent attention to detail and accuracy.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities and meet deadlines.
- Proficiency with Microsoft Word, Excel, Access, and PowerPoint required.
- Ability to work independently while also supporting a collaborative project team.
