Position Status: Part-time, nonexempt

Compensation: $30/hour, plus technology/transportation benefit, PTO, and professional development opportunities

Reports to: Associate Director

Location: Hybrid - 1+ day/week onsite at our Portland office

Interviews are expected to begin the week of August 31, with the goal of the successful candidate starting in mid-September.

About the Role

We're looking for an organized, relationship-centered Programs Coordinator to join our programs team. This is a pivotal role that keeps our school-based programming running smoothly - connecting artists, schools, and data systems so that teaching artists can focus on what they do best: creating transformative experiences for young people.

You'll be the operational backbone of our school programs: managing scheduling and data in Salesforce, maintaining warm and reliable relationships with school partners, and ensuring our systems are accurate, efficient, and equitable. What You'll Do

School Programs Coordination

• Respond to incoming programming requests from schools, ensuring that schools and artists have completed planning processes before programs begin
• Enter and monitor scheduling data in Salesforce, maintaining accurate records across all school-based contracts and programming
• Support the management of our roster programs, including the annual artist renewal process
• Regularly review school-based systems - scheduling, data tracking, contract creation, and more - and identify opportunities for improvement
• Collaborate with the Associate Director and Finance staff to run regular reports and maintain data integrity

Data & Reporting

• Ensure all school-based contacts and public-facing artist information in Salesforce are accurate, current, and clearly presented
• Provide program statistics and summaries to support the Programs Team, grant applications, annual audits, the ALNW affiliate report, and monthly board meetings
• Research and respond to ad hoc data questions as needed

What We're Looking For

• Strong organizational skills with the ability to manage multiple projects and relationships simultaneously
• Comfort navigating competing priorities and overlapping deadlines with flexibility and good humor
• A collaborative spirit and genuine investment in relationship-building with team members, artists, and school partners
• Self-directed and resourceful, with the ability to identify and work through problems independently
• Experience with Salesforce or a similar CRM platform
• Familiarity with Oregon and/or SW Washington public school systems
• Background or interest in arts education
• Skill in building and maintaining organizational systems and processes
• Strong written and verbal communication skills, with cultural fluency across diverse communities
• A personal commitment to anti-racism, equity and accessibility
