Job Description:
The Production Coordinator supports *** Entertainment Television’s Strategic Communications Video team by providing operational, administrative, and logistical support in producing high-quality visual storytelling that amplifies internal and external communications across complex video productions, press junkets, influencer activations, executive support and special events. This Burbank-based role supports efficient production workflows, team calendars, vendor processes, coordinates scheduling and
budget tracking, research, organization, and light production and media management as needed.
Key Responsibilities- Project Tracking and Workflow Coordination
- Support producers, managers, and editors by maintaining visibility across the
- team’s production and post-production slate to ensure smooth creative and
- technical execution.
- Help move projects through established production workflows by tracking next
- steps, following up on outstanding items, and communicating status updates or
- changes to the appropriate team member or internal and external stakeholders.
- Maintain professional and timely communication across multiple simultaneous
- projects.
Production and Event Logistics- Support producers and managers with logistical preparation for video shoots, press
- junkets, remote media tours, executive presentations, internal events, and other
- productions.
- Coordinate crew information, parking, access, catering, travel details, hair and
- make-up, and other production needs.
- Provide production assistance during shoots with logistical and administrative
- support as needed.
- Deliver hard drives and media to DMC and other stakeholders.
- Team Administration, Scheduling and Team Resources
- Serve as an administrative point of coordination between Video team, Creative
- Technology and Content Operations, internal communications, publicity teams and
- other business partners and vendors.
- Maintain the team’s production and meeting calendars, including key deadlines,
- shoots, review timelines, and delivery dates.
- Schedule meetings, production and technical calls, and project check-ins across
- internal teams and external partners.
- Prepare agendas, capture meeting notes, and distribute clear follow-ups and action
- items.
- Help track team availability, production coverage, and scheduling conflicts.
- Maintain contact and distribution lists, reference documents, and other shared
- administrative resources.
- Create and maintain production documents, schedules, call sheets, technical
- sheets, and standard operating procedures.
- Build and update clean and visually consistent presentation decks using
- established templates.
Budget, Vendor and Expense Coordination- Support budgeting by tracking estimates, invoices, expenses and following up with
- vendors, stakeholders and internal business partners as changes are
- communicated.
- Coordinate vendor and daily hire onboarding and other required administrative
- processes.
- Maintain organized financial records for reconciliation and project closeout.
- Post-Production and Delivery Support
- Track post-production schedules, review rounds, approvals, and delivery
- deadlines.
- Coordinate the routing of cuts, notes, graphics, captions, cue sheets between
- editors, producers and stakeholders.
- Maintain organized production notes, asset lists, file structures, and delivery
- records.
- Assist with basic footage organization, transcriptions, uploads, downloads and
- media preparation as needed.
QualificationsBasic Requirements- 2+ years experience supporting production, project coordination, communications, or related
- fields.
- Working proficiency in Microsoft Office.
- Strong organizational, communication, and multi-tasking skills.
- Light video editing and file maintenance. Familiarity with Adobe Premier.
Preferred Experience- On-set or production-adjacent support experience.
- Experience preparing internal presentations or creative reference materials.
- Familiarity with Google Workspace tools is preferred.
