Procurement Administrator

The Procurement Administrator is responsible for managing purchasing administration, supplier coordination, and procurement data, ensuring materials and services are delivered on time and information is accurately maintained.

Tasks & Responsibilities

  1. PURCHASE ORDER & SUPPLIER MANAGEMENT
  • Purchase Orders: Create, process, and track purchase orders.
  • Supplier Records: Maintain accurate supplier records, contracts, and procurement documentation.
  • Supplier Follow-up: Follow up with suppliers regarding quotations, order confirmations, and deliveries.
  • Order Monitoring: Monitor order status and resolve delivery issues when needed.
  1. CROSS-FUNCTIONAL COORDINATION & INVENTORY
  • Team Coordination: Coordinate with Operations, Production, Planning and Finance teams to ensure smooth procurement processes.
  • Inventory Support: Assist with inventory monitoring and replenishment activities.
  1. PROCUREMENT ADMINISTRATION & COMPLIANCE
  • Invoice Matching: Support invoice matching and procurement-related administrative tasks.
  • Reporting: Maintain procurement reports, databases, and KPIs.
  • Compliance: Ensure compliance with internal purchasing procedures and policies.

Qualifications & Skills:

  • Vocational training, bachelor's degree, or equivalent qualification in Business Administration, Supply Chain, Logistics, Procurement, Operations, Finance, or a related field.
  • Minimum 2 years of experience in Procurement Administration, Purchasing, Supply Chain, or a similar administrative role.
  • Experience working with ERP, procurement, inventory, or production management software.
  • Experience in hardware, manufacturing, electronics, or a production environment is a plus.
  • Strong analytical skills and high proficiency with Excel/Sheets and other standard business applications; experience with ERP/MRP systems such as Odoo is a plus.
  • Good written and verbal English skills, particularly for supplier communication.
