    Payroll Tax Manager

    Our client, an established home healthcare and payroll services organization in San Antonio, is seeking a hands on Payroll Tax Manager to lead payroll tax processing, compliance, reconciliation, and reporting.

    This position is well suited for an experienced payroll tax professional who enjoys working directly with payroll data, resolving complex tax issues, improving processes, and guiding a team. Candidates do not need to come from the home healthcare industry, but they must have meaningful experience processing and reconciling payroll taxes internally.

    Payroll Tax Manager Role:

    Oversee federal, state, and local payroll tax processing and compliance

    Manage payroll tax responsibilities associated with IRS Section 3504 and state unemployment requirements

    Ensure payroll tax liabilities, deposits, and filings are accurate, balanced, and submitted on time

    Oversee the preparation and filing of Forms 941, Schedule B, Schedule R, 940, 940 Schedule R, state unemployment reports, and W 2s

    Reconcile payroll tax withholding records, federal tax deposits, Social Security, Medicare, and unemployment tax activity

    Maintain consolidated payroll and tax data used for quarterly and annual reconciliations across multiple companies or entities

    Research and resolve payroll tax notices, discrepancies, and compliance issues

    Communicate with federal and state tax agencies when necessary

    Monitor payroll processes and implement controls, procedures, and process improvements

    Support the preparation and maintenance of payroll, accounting, financial, and statistical records

    Stay current on changes to federal and state payroll tax regulations

    Train and support payroll team members on regulatory changes, payroll processes, and system updates

    Complete continuing education related to payroll and payroll tax processing

    Payroll Tax Background Profile:
    Required

    At least three years of progressive payroll or payroll tax experience

    Direct experience processing, balancing, reconciling, and filing payroll taxes

    Working knowledge of federal and state payroll tax laws, tax deposits, quarterly filings, and W 2 reporting

    Experience working with Forms 941 and 940, including the related schedules

    Hands on payroll processing experience within an internal payroll department

    Experience working with payroll data files, including Excel, CSV, and TXT formats

    Experience leading people, processes, projects, or payroll functions

    Ability to identify discrepancies, research issues, and work through complex payroll tax problems

    Preferred

    A college degree is preferred but is not required when the candidate has strong payroll tax experience

    A Certified Payroll Professional designation is preferred but is not required

    Candidates do not need to currently hold the title of Payroll Tax Manager

    The client will consider a Payroll Tax Lead, Payroll Supervisor, Senior Payroll Tax Analyst, or experienced payroll professional who has already been functioning as a team or process leader

    Experience supporting payroll for multiple companies, entities, or states

    Experience with IRS Section 3504 payroll arrangements

    Experience improving payroll controls, workflows, or reporting processes

    Previous home healthcare experience is not required

    Formal people management experience may be flexible for someone who has trained employees, reviewed work, led payroll processes, or served as the internal payroll tax subject matter expert

    Important Clarification About Payroll Processing Experience

    The client is looking for someone who has personally worked through payroll tax calculations, data preparation, reconciliations, deposits, filings, and corrections.

    Experience using payroll software is expected. However, candidates whose payroll tax responsibilities were primarily handled by an outside payroll provider, without direct internal processing and reconciliation experience, do not have the depth needed for this position.
