Payroll Specialist

We’re seeking an experienced Payroll Specialist to support weekly payroll for multiple business entities. This position combines hands-on processing with employee support, payroll reconciliation, and specialized reporting for construction projects. Someone who enjoys solving discrepancies, managing deadlines, and keeping detailed records will be well suited to the role.

Payroll Specialist Responsibilities

• 
  
• Coordinate weekly payroll from timecard review through final processing, confirming employee hours, earnings, deductions, and pay changes.
• 
  
• Review information from multiple timekeeping platforms, resolve missing or inconsistent entries, and ensure hours meet applicable wage and hour requirements.
• 
  
• The payroll specialist will apply appropriate pay rates, including union and certified payroll rates, and allocate labor hours for accounting and project reporting.
• 
  
• Reconcile attendance, leave, and payroll adjustments; work with the Payroll Manager to research and correct discrepancies.
• 
  
• Partner with HR to maintain accurate payroll information for employee onboarding, separations, direct deposits, and tax withholding elections.
• 
  
• Prepare off-cycle and final paychecks in accordance with applicable payment deadlines.
• 
  
• Complete certified payroll submissions and union reports, including assigned payroll tax filings and payments.
• 
  
• Assist compliance leadership with apprenticeship documentation and certified payroll reporting for projects subject to Inflation Reduction Act requirements.
• 
  
• The payroll specialist will answer employee questions about compensation and deductions, provide payroll reports to management, and maintain organized, confidential supporting records.

Payroll Specialist Qualifications

• 
  
• At least three years of payroll processing experience.
• 
  
• Working knowledge of payroll reconciliation, internal controls, payroll taxes, and wage and hour requirements.
• 
  
• Strong attention to detail, sound judgment, and discretion when handling employee information.
• 
  
• The ability to organize competing priorities and consistently meet weekly processing deadlines.
• 
  
• Clear communication skills and a collaborative approach to working with employees, HR, accounting, and operations.
• 
  
• Proficiency with Microsoft Excel, Outlook, and Adobe Acrobat.
• 
  
• A proactive approach to resolving issues and learning new payroll procedures.
• 
  

Payroll Specialist Experience That Would Be Helpful

• 
  
• Payroll experience within construction.
• 
  
• Familiarity with certified payroll reporting a huge plus
• 
  
• Experience using Viewpoint Spectrum or a comparable payroll platform a huge plus
• 
  

Salary up to $90K
