Job Summary
The Patient Access Representative facilitates a welcoming and efficient patient experience while ensuring patients have appropriate access to hospital services.
This role is responsible for accurately collecting and entering patient demographic, financial, guarantor, insurance, and encounter information. The representative will also verify insurance eligibility, obtain required authorizations, calculate patient financial responsibility, collect payments, and assist patients with required hospital documentation.
The ideal candidate is professional, dependable, flexible, detail-oriented, and comfortable communicating with patients, families, physicians, nurses, insurance companies, and third-party payers.
Key Responsibilities
Patient Registration & Scheduling
- Accurately register patients and establish encounters according to hospital requirements.
- Enter patient demographic, financial, guarantor, and encounter information into applicable systems.
- Schedule and register patients accurately while maintaining data integrity.
- Review information for completeness and accuracy.
- Obtain required patient or legal representative signatures on hospital documents.
- Ensure all required registration and documentation requirements are completed.
Insurance Verification & Authorization
- Verify patient insurance eligibility and benefits.
- Obtain necessary authorizations for services.
- Review insurance and financial information for accuracy.
- Identify missing or incorrect information and take appropriate action.
- Communicate with insurance companies and third-party payers as needed.
Patient Financial Services
- Calculate estimated patient financial responsibility based on benefits and reimbursement information.
- Collect estimated patient portions and prior balances.
- Perform financial assessments for appropriate assistance programs.
- Explain financial and registration information clearly and professionally to patients and families.
- Support the hospital's financial and collection objectives.
Customer Service
- Welcome patients and families in a professional and courteous manner.
- Provide clear information regarding registration, scheduling, insurance, and financial requirements.
- Communicate effectively with patients, families, physicians, nurses, insurance companies, and other healthcare stakeholders.
- Maintain a professional appearance and positive attitude.
- Adapt communication and service approaches to meet diverse patient needs.
Department Operations
- Support patient access operations during periods of fluctuating patient volume.
- Assist in other areas of the department as needed.
- Remain flexible regarding work assignments and shift requirements based on business needs.
- Support established departmental performance goals.
- Participate in required training.
- Follow established standard processes and procedures.
- Work collaboratively with High-Performance Work Teams (HPWT).
- Support a clean, efficient, and organized workplace using 5S principles.
- Communicate workflow concerns, issues, problems, and opportunities to the appropriate team members.
Compliance & Confidentiality
- Maintain strict confidentiality of patient information.
- Follow hospital policies, procedures, and applicable state and federal regulations.
- Protect confidential patient and financial information.
- Follow established healthcare, regulatory, and departmental standards.
- Participate in internal or external disaster response activities when required.
- Perform all responsibilities according to patient-specific and developmental needs.
Required Qualifications
- High School Diploma or equivalent required.
- 1–3 years of experience preferred.
- Healthcare, hospital, medical office, patient access, registration, or customer service experience preferred.
- Strong communication and interpersonal skills.
- Excellent attention to detail and accuracy.
- Ability to work effectively in a fast-paced healthcare environment.
- Ability to handle sensitive and confidential information professionally.
- Strong computer and data-entry skills.
- Ability to work independently and as part of a team.
- Ability to adapt to changing patient volumes and departmental priorities.
- Ability to work onsite in Irving, TX.
- Availability to work Monday–Friday.
