Ops Administrative Assistant
The OPS Administrative Assistant will serve as administrative and clerical support to supervisors and staff within the Office of Military and Defense (M&D) in the Division of Economic Development.
Your specific responsibilities include:
- Providing comprehensive administrative and clerical support to supervisors and program staff within the Office of Military & Defense, ensuring efficient daily office operations and workflow continuity
- Coordinating bi-monthly meeting logistics, including booking hotels/venues, arranging audio/visual needs, and providing on-site support during events
- Maintaining and updating project spreadsheets and routine tracking documents
- Creating, maintaining, and organizing electronic files, ensuring accurate records management and compliance with state administrative procedures
- Assisting Office of Military and Defense staff with special administrative assignments, research, and report preparation as requested
- Serving as a central point of contact for routine office needs, responding to emails, coordinating requests
- Supporting office administration by proofreading documents, assisting with procurement of office supplies, and completing day-to-day clerical tasks
- Communicating with vendors and stakeholders as needed to support office functions and scheduled activities
- Providing flexible administrative support across the office, stepping in wherever assistance is needed to meet deadlines and support team priorities

- Skill and proficiency using Microsoft Suite including Word, Excel, PowerPoint and Teams
