Position Overview and Responsibilities:

The primary functional activity and responsibility is to support DivTel's administrative assistant with daily tasks for the Bureau of Engineering. Specific responsibilities include, but are not limited to, the following:

  • Assist in tracking Vendor Catalog updates
  • Ensure SUNCOM Communication Services (SCS) Vendor (Admin, Operational and User) Guides are current
  • Ensure vendor topology documentation is up to date
  • Work with Service Delivery to track vendor closeout documentation
  • Assist in tracking Vendor Annual Failover Testing
  • Review, update, close SCS SUNCOM Incident Management System (SIMS) tickets
  • Tracking SCS End of Life Equipment spreadsheets
  • Assist the team with additional duties as needed
  • Tracking agency migrations
  • Tracking Projects
  • Assist with reports
  • Assist with demo room activities
  • Assist with planning/coordinating retirement, holiday, and team-building events
  • Assist with property/inventory tasks
  • Assist the division office manager with administrative tasks as necessary
  • Straighten and maintain the copier rooms and director's conference room

Knowledge, Skills, and Abilities:

  • Experience with Microsoft Office programs (Excel, Word and Outlook).
  • Knowledge of administrative principles and practices.
  • Excellent organizational skills, and able to proofread and edit documents accordingly.
  • Knowledge of the methods of data collection.
  • Knowledge of the principles and techniques of effective communication.
  • Ability to understand and apply applicable rules, regulations, policies, and procedures.
  • Ability to utilize problem-solving techniques.
  • Ability to work independently.
  • Ability to plan, organize and coordinate work assignments.
  • Ability to establish and maintain effective working relationships with others.
  • Ability to make decisions in a timely manner.
  • Ability to prioritize workload.
  • Ability to model behaviors of Accountability, Communication, Empowerment, Flexibility, Integrity, Teamwork.

Minimum Qualifications:

  • A high school diploma or its equivalent and two years of secretarial or clerical work experience.
  • College education or vocational/technical training in a related field can substitute for each year of the required experience.
  • Ability to spend prolonged periods of time performing sedentary work, involving repetitive motion.
