    JOB DESCRIPTION:

    The Operations & Event Technology Coordinator keeps edgefactory's Operations & Event Technology departments running day to day. The Operations & Event Technology Coordinator supports the systems, equipment, logistics, and administrative functions that allow the department to prepare shows, manage assets, and execute events with confidence.

     

    This role sits at the center of the Operations & Event Technology department, supporting both internal operations and live event technology workflows. The Operations & Event Technology Coordinator works closely with the Event Technology Coordinator, Event Technology Manager, and Asset Manager while providing administrative and logistical support to the Director of Operations & Event Technology.

     

    This is a hands-on, high-trust role for someone who is organized, dependable, and takes pride in building systems that help the department operate efficiently. From coordinating equipment preparation and maintaining inventories to supporting office operations and event logistics, the Operations & Event Technology Coordinator helps ensure the department remains organized, prepared, and ready to support every project.

     

    RESPONSIBILITIES INCLUDE, BUT ARE NOT LIMITED TO:

     

    Operations & Asset Support

    • Help maintain the systems, inventory, and workplace that keep the company operating.
    • Support the fixed asset inventory and company hardware records.
    • Assist with computer deployments and workstation setup.
    • Help organize and maintain the warehouse, IT room, and storage areas.
    • Track shipping, receiving, exports, and imports.
    • Support SharePoint, OneDrive, and company file organization.
    • Help maintain digital asset libraries, photo archives, and media storage.
    • Perform routine storage audits and help maintain clean file structures.
    • Assist with office setup, supplies, meeting spaces, and facility readiness.

     

    Event Technology Coordination

    • Support the preparation and logistics behind every show.
    • Coordinate equipment prep, scheduling, and logistics across assigned events.
    • Assist with pull sheets, prep lists, run-of-show documentation, and event checklists.
    • Coordinate with producers, technicians, vendors, and rental houses to keep show preparation on track.
    • Track equipment through prep, deployment, return, and maintenance.
    • Help maintain event calendars, trackers, and department schedules.
    • Assist with purchase orders, rental paperwork, and show documentation.
    • Support load-in and load-out logistics as needed.
    • Help identify scheduling conflicts, equipment shortages, and logistical risks before they impact production..
    • Stay current with evolving production technologies, project management methodologies, AI tools, and industry best practices.
    • Support the Director of Production with departmental planning, operational initiatives, hiring efforts, and strategic projects as needed.
    • Lead by example through professionalism, collaboration, accountability, and a commitment to continuous improvement.
    • Assist with on-site support as needed.

    Technology & IT Support

    • Provide first-level support for everyday technology needs.
    • Handle routine IT requests and coordinate escalations with our external IT provider.
    • Support file access, remote desktop requests, software updates, and user account requests.
    • Assist with email forwards, aliases, and distribution groups.
    • Research and test new office technology, software, and workflow improvements.

     

    Department Administration

    • Keep the Operations & Event Technology department organized and informed.
    • Maintain department documentation, SOPs, and internal processes.
    • Coordinate departmental meetings, schedules, and recurring administrative tasks.
    • Monitor shared department inboxes and route requests appropriately.
    • Support the Director of Operations & Event Technology with administrative projects, reporting, and department initiatives.
    • Assist with vendor communication, purchasing coordination, and equipment documentation.
    • Help maintain department dashboards, trackers, and reporting systems.

     

    REQUIRED SKILLS/EXPERIENCE:

    • 2+ years in operations coordination, event coordination, asset management, production logistics, or a similar role.
    • Strong organizational skills with exceptional attention to detail.
    • Comfortable managing multiple projects, schedules, and priorities simultaneously.
    • Experience working with Microsoft 365, including SharePoint and OneDrive.
    • Familiarity with inventory tracking and basic hardware setup.
    • Strong written and verbal communication skills.
    • Comfortable working with spreadsheets, documentation, and scheduling tools.
    • Ability to lift and move production and technology equipment.
    • Self-starter who takes ownership and follows through.
    • Willingness to travel and work evenings, weekends, and extended production hours as required by event schedules.

    PREFERRED SKILLS:

    • Experience in live events or event production.
    • Familiarity with AV or event technology workflows.
    • Experience with warehouse operations or inventory systems.
    • Exposure to digital asset management.
    • Experience working with external IT providers.
    • Knowledge of Asana or similar workflow tools.

    EDUCATION:

    Associate or Bachelor's degree in Operations, Event Management, Information Technology, Media Production, or a related field, or equivalent professional experience.

     

    TIME COMMITMENT:

    Monday through Friday. Office hours are 9:00 AM to 6:00 PM. Travel, evenings, weekends, and extended production hours may be required based on event schedules.
