What You'll Do

As an Operations Assistant, you'll report to the Operations Supervisor and play a key role in supporting daily office operations with a strong focus on digital workflows and print production services. You'll partner closely with attorneys and staff to deliver high-quality document solutions while ensuring efficiency, accuracy, and exceptional internal service. This role also offers the opportunity to cross-train across facilities and office operations, giving you broad exposure to how a professional services office operates end to end.

  • Print & Digital Production: Manage job queues, configure job processing tools, and operate high-volume printers, scanners, copiers, and Multi-Function Devices (MFDs) to complete client and internal requests efficiently.
  • Quality Control: Diagnose and resolve print quality issues, ensuring each job meets standards for alignment, formatting, and materials.
  • Document Processing: Convert, format, and prepare files across multiple formats (e.g., Word, Excel, PDF, image files), including creating searchable PDFs and using Optical Character Recognition (OCR) tools.
  • File Management: Index, store, and retrieve documents within network drives and Document Management Systems (DMS) to ensure accessibility and organization.
  • Production Support: Handle binding, cutting, folding, scanning, and other finishing services to deliver polished final products.
  • Operational Efficiency: Minimize waste, optimize resource usage, and maintain cost-effective production practices.
  • Facilities Coordination: Support mail, shipping, and courier operations, assist with office setup, and coordinate maintenance requests with vendors and building management.
  • Workspace Readiness: Maintain organized conference rooms, common areas, and supply spaces while managing inventory and reordering as needed.
  • Office Support: Assist with office moves, workstation setups, and general facilities-related requests to ensure a seamless workplace experience.
  • Customer Service Excellence: Provide responsive, professional support to attorneys and staff, offering guidance on document solutions and keeping stakeholders informed on project status.

What You'll Bring

  • Education: High school diploma required; associate degree or technical training preferred.
  • Experience: At least 2 years in a production document processing or similar environment, with prior law firm service center experience strongly preferred; minimum 1 year of direct customer service experience.
  • Technical Skills: Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint), Adobe tools, scanning platforms, and document technologies including DMS and OCR.
  • Equipment Expertise: Ability to operate large-scale reprographic and production equipment with confidence and precision.
  • Communication: Strong written and verbal communication skills with a customer-focused, service-oriented mindset.
  • Organization & Detail Orientation: Proven ability to manage multiple tasks, maintain accuracy, and meet deadlines in a fast-paced setting.
  • Physical Requirements: Ability to lift up to 50 pounds and remain standing for extended periods as needed.
  • Adaptability: Flexibility to work overtime with minimal notice and support evolving operational demands.
  • Efficiency & Problem-Solving: A proactive approach to troubleshooting issues, improving workflows, and supporting operational excellence.
