Job Title: Operations Administrative Assistant

Job Description

The Operations Administrative Assistant provides comprehensive administrative and operational support in a fast-paced office environment. This role focuses on accurate data entry, record maintenance, payroll support, and coordination of work orders while helping to monitor operational processes and support contract documentation. The position is ideal for a highly organized professional who enjoys working cross-functionally and contributing to the efficiency and reliability of daily operations.

Responsibilities

  • Provide general administrative support, including accurate data entry and thorough review of records.
  • Assist with payroll support by reviewing employee hours and ensuring time entries are accurate and complete.
  • Review and enter work orders into the appropriate systems and maintain related records such as sign-in sheets and other documentation.
  • Monitor operational processes and workflows to help ensure tasks are completed as expected and in a timely manner.
  • Support contract review by organizing, tracking, and assisting with documentation as needed.
  • Assist with document storage and vaulting procedures to ensure records are properly filed, secured, and easily retrievable.
  • Collaborate with multiple departments to gather required information and ensure smooth communication and follow-through on tasks.
  • Follow established processes and standard operating procedures to support accuracy, compliance, and completion of assigned work.
  • Prioritize daily responsibilities effectively to meet deadlines in a fast-paced environment.
  • Contribute to a culture of safety, integrity, and continuous improvement by sharing ideas and supporting process enhancements.

Essential Skills

  • 5+ years of administrative and/or operations support experience.
  • Proven ability to quickly learn new tasks, systems, and processes in a fast-paced environment.
  • Strong attention to detail with a consistent focus on accuracy and completeness of work.
  • Effective communication skills, with the ability to collaborate across departments and gather required information.
  • Strong organizational and time management skills to prioritize multiple responsibilities.
  • Experience with data entry and general administrative support.
  • Proficiency with Microsoft Office, including Excel.
  • Exposure to payroll or time entry processes.
  • Experience working in a construction environment is ideal; experience in manufacturing, utilities, warehouse, transportation, or a related area is also suitable.

Additional Skills & Qualifications

  • Experience with Sage or similar business software is a plus.
  • Customer service experience in an office or operations setting.
  • Cross-department exposure within construction or related industries.
  • Demonstrated ability to follow established processes and standard operating procedures.
  • Interest in contributing ideas for process improvements and operational efficiency.
  • Comfort working in a growing organization with an expanding geographic footprint.

Work Environment

This is a full-time, fully in-office position based at the company's headquarters in Bridgeport, CT. The standard schedule is Monday through Friday, generally between 8:00 AM and 6:00 PM, with an 8-hour workday and a 40-hour workweek; some flexibility is available within core office hours, and overtime is available. This is a Contract to Hire position based out of Bridgeport, CT.

Pay and Benefits

The pay range for this position is $23.00 - $26.00/hr.
